Job Description
Job Summary:
We are seeking a highly organized and reliable Office Assistant to support the smooth functioning of day-to-day office operations. This role involves a variety of tasks, including transporting materials between sites, managing vendor relations, performing clerical duties, and running essential office errands. The ideal candidate should be proactive, detail-oriented, and able to handle a variety of tasks efficiently and professionally.
Key Responsibilities:
Transporting Materials Between Sites:
- Safely transport materials, supplies, documents, or equipment between various company locations as needed.
- Ensure the timely delivery and receipt of items while maintaining accurate records of transportation, including documentation such as receipts, delivery confirmations, or logbooks.
Managing Vendor Interactions:
- Collecting Invoices: Collect and organize invoices from vendors, ensuring all records are up to date for payment processing.
- Visiting Banks for Cheque Deposits: Visit banks as needed to deposit company cheques and handle any other bank-related errands or transactions.
- Serve as a point of contact between the company and vendors, ensuring positive, professional relationships and addressing any issues that arise.
Performing Clerical Duties:
- Handle day-to-day clerical tasks such as filing, data entry, and organizing office documents and supplies.
- Prepare and proofread correspondence, reports, and memos.
- Assist with maintaining accurate inventory and records of office supplies, ensuring adequate stock levels.
- Support the administrative team with general office functions, including scheduling meetings, handling phone calls, and managing office communication systems.
Running Office Errands:
- Mailing Documents and Parcels: Manage the mailing of important documents, packages, and parcels to clients, vendors, and other business contacts in a timely manner.
- Collecting Samples and Catalogues from Vendors: Visit vendors to collect product samples, catalogues, promotional materials, and other supplies needed for office or operational purposes.
- Ensure all documents and items are handled with care and are delivered or collected on time.
Qualifications:
- High school diploma or equivalent (required).
- Previous experience in an office assistant, administrative, or clerical role preferred.
- Strong organizational skills with the ability to handle multiple tasks and prioritize effectively.
- Excellent communication skills (both verbal and written).
- A valid driver’s license.
Skills and Competencies:
- Strong attention to detail and ability to maintain accurate records.
- Ability to work independently and manage time effectively.
- Good interpersonal skills with the ability to communicate professionally with vendors and staff.
- Proactive and flexible, able to adapt to changing office needs and demands.
- Capable of managing physical tasks such as carrying and transporting materials and parcels.
Working Conditions:
- Some travel may be required for transporting materials between company locations or visiting vendors and banks.
- The role may involve occasional lifting or carrying of documents, parcels, or materials.
- Flexible working hours may be required based on the nature of the errands and vendor visits.
