2. About the Role
IWLD’s podcast is how the brand earns trust — real transformation students, doctors, experts, creators and public figures, in conversation. This role fills that guest chair, and then gets those stories picked up by publications and portals.
This is mainly a calling job. You will be on the phone every day — calling IWLD’s own transformation students, reaching out to creators and experts, following up with people who did not reply the first time, and coordinating with guests who have said yes. Persuasion and persistence on a call are the core skills; everything else in this role supports them.
You will also coordinate what happens around the podcast: schedules, consent forms, guest travel and hospitality for Goa recordings, creatives, and the record of everything agreed.
3. Key Responsibilities
A. Outreach Calling — The Core of the Role
• Make outreach calls every day to IWLD transformation students and achievers, creators, podcasters, doctors, nutrition experts, athletes, authors and other public figures.
• Pitch an IWLD podcast appearance clearly and professionally — why this person, why now, what it involves and how long it takes.
• Handle objections calmly: too busy, not interested, wants to know more, wants to check first. Most yeses come after the first no.
• Follow up on a schedule rather than when you remember, and keep following up without becoming a nuisance.
• Log every call and its outcome the same day, so nobody is called twice by mistake and no lead goes cold.
• Build relationships that last beyond one episode — repeat appearances, referrals to other guests, future collaborations.
B. Dream Guest List
• Build and maintain IWLD’s Dream Guest List — celebrities, high-impact creators, doctors and experts, athletes, authors and inspiring transformation stories.
• Sort it into immediate reach-outs, medium-term targets and long-term aspirations, with a named next step against each.
• Keep the outreach status current: contacted, in discussion, confirmed, declined, revisit later.
• Research each guest properly before calling. A pitch that shows you know their work gets answered; a generic one does not.
C. Podcast Coordination
• Coordinate on-ground recordings in Goa and online recordings over Zoom.
• Share the podcast brief, schedule, consent format and what to expect, well before the recording date.
• Confirm each guest a day in advance, and be the person they can reach if anything changes.
• Make sure guests arrive prepared, comfortable and clear about how IWLD talks about weight loss.
• Coordinate recording dates with the production team and the host’s availability.
D. PR & Media Coordination
• Pitch IWLD stories — founder story, student transformation journeys, the IWLD method — to publications, health and lifestyle portals, and blogs.
• Coordinate with the Content Writer on articles, press notes and interview answers.
• Track every published link and maintain IWLD’s media coverage record.
• Where a publication charges for placement, negotiate and put the proposal up to Gayatri Sahu with a recommendation. This role does not commit money or sign anything.
E. Consent & Compliance
• Before a student’s name, photographs, videos or weight figures are used in any article, promo or post, take written consent for that specific use and keep it on file. Consent given for the programme is not consent for a newspaper.
• Every pitch, press note and article draft is checked against IWLD’s content rules before it leaves — no weight-loss-in-a-timeframe claims, no medical or cure claims, no before-and-after imagery without approval.
• A printed article cannot be edited after publication. When in doubt, check with Gayatri Sahu before sending.
F. Guest Experience & Hospitality
• For guests travelling to Goa, coordinate travel, accommodation, local transport and food arrangements.
• Get every booking approved before it is made; this role arranges, it does not approve spend.
• Make sure the guest’s experience from arrival to departure feels professional and warm.
G. Records & Creative Coordination
• Maintain guest profiles, contact details, agreements, consent forms and NDAs in order and up to date.
• Keep folders organised — raw footage, edited episodes, promotional assets, published links.
• Brief the graphic designers for podcast posters, guest welcome creatives and announcement posts, with accurate bios, photos and details.
• Share the final episode link and creatives with each guest after publishing, and collect feedback where useful.

5. What We’re Looking For
Must-Haves
• Freshers are welcome to apply. Prior experience in a similar role is an advantage, not a requirement — full training on IWLD’s SOPs, templates and systems is provided.
• Good spoken and written communication in both English and Hindi.
• Comfortable working on a laptop for a full working day.
• Working knowledge of Google Sheets, Docs and Drive — able to build and maintain a tracker, not only open one.
• Comfortable working on the company dashboard for daily entries, checks and reports (training provided).
• Reading comprehension — able to read an SOP or a written instruction and act on it correctly without being walked through it.
• Follow-up discipline — a real method for tracking pending items, and the persistence to chase them politely until they are closed.
• Ownership — takes responsibility for the outcome, not merely for having passed the message on.
• Confident on the phone with complete strangers, including senior and well-known people.
• Persuasive without being pushy, and not discouraged by rejection — most of this job is hearing no.
• Organised: keeps a live list, follows up on time, and never loses a contact.
• Warm and professional — guests judge IWLD by how this role treats them.
• Discreet with guests’ personal details and with students’ stories.
Good to Have
• Experience in PR, media outreach, influencer management, podcast coordination or brand partnerships.
• Experience in tele-calling, sales or any role built on daily outbound calls.
• Interest in branding, storytelling and media.
6. What Success Looks Like
• A steady flow of confirmed, good-quality guests every month — the recording calendar is never empty.
• The Dream Guest List is live and moving, not a list written once.
• IWLD stories appear in publications and portals, with every link recorded.
• No student’s story is published anywhere without written consent on file.
• Guests come back, and recommend other guests.
7. Why Join Us
• Work directly with management on the systems the company actually runs on.
• Be part of a 160+ member team across teaching, sales, media, technology, hostel and operations.
• Build and improve real systems at scale — this is a role where what you fix stays fixed.
• A defined growth path, with full training on every SOP, template and system you will use.
8. Note
The designation on record is Podcast Outreach Executive. Growth path: Outreach Executive → PR & Podcast Manager → Brand Partnerships Lead. Full training on IWLD’s podcast process, consent requirements and content rules is provided during onboarding.
