Job Summary
The Front Office Executive is the face of Fun@Work and the first point of contact for members, guests, and prospective clients. The role requires exceptional customer service, excellent communication skills, and the ability to manage front office operations while ensuring an outstanding member experience.
Key Responsibilities
Front Office & Reception
* Welcome members, visitors, and clients with warmth and professionalism.
* Manage reception and ensure the front office is always clean and presentable.
* Handle incoming calls, emails, and walk-in enquiries.
* Maintain visitor records and issue visitor passes where required.
Member Experience
* Build strong relationships with coworking members.
* Address member requests and coordinate timely resolution.
* Ensure a seamless onboarding experience for new members.
* Handle customer feedback and escalate issues when required.
Sales Support
* Respond to enquiries generated through phone, WhatsApp, email, and social media.
* Conduct professional tours of the coworking space for prospective clients.
* Explain membership plans, pricing, amenities, and services.
* Assist the sales team in converting walk-ins into memberships.
Meeting Rooms & Workspace Management
* Manage bookings for meeting rooms and event spaces.
* Coordinate with housekeeping and maintenance teams to ensure readiness.
* Ensure meeting rooms are prepared before every booking.
Administrative Responsibilities
* Maintain records of memberships, invoices, payments, and agreements.
* Coordinate courier services and mail handling.
* Prepare daily reports on enquiries, occupancy, visitors, and bookings.
* Support procurement of office supplies and pantry inventory.
Community & Events
* Support networking events, workshops, and community engagement activities.
* Assist in promoting a vibrant and collaborative coworking culture.
* Capture member feedback to improve customer experience.
Desired Skills
* Excellent communication skills in English, Hindi, and Telugu (preferred).
* Pleasant personality with a customer-first attitude.
* Strong interpersonal and relationship-building skills.
* Good organizational and multitasking abilities.
* Basic proficiency in MS Office and Google Workspace.
* Familiarity with CRM software is an advantage.
* Ability to remain calm and professional during busy periods.
Qualification
* Graduate in any discipline.
* Degree or diploma in Hospitality, Hotel Management, Business Administration, or related fields is preferred.
Experience
* 1–3 years of experience in Front Office, Reception, Hospitality, Hotels, Coworking Spaces, Customer Service, or Administration.
* Fresh graduates with excellent communication skills and a positive attitude may also apply.
Working Hours
* 6-day working week.
* Flexible to work weekends and holidays on a rotational basis.
