Job Description
1. JOB PURPOSE
We are looking for a competent and experienced Accountant who can independently manage the company's day-to-day accounting, taxation, banking and finance operations.
The ideal candidate should have strong practical knowledge of Tally/ERP, GST, TDS, income tax basics, bank reconciliation, accounts payable/receivable, inventory accounting, manufacturing accounts and MIS reporting.
Experience in manufacturing, trading, import/export, OEM or corporate gifting businesses will be highly preferred.
The candidate should be capable of working independently, identifying financial discrepancies and providing accurate financial information to management for decision-making.
2. KEY RESPONSIBILITIES
A. Day-to-Day Accounting
- Maintain complete and accurate books of accounts.
- Record sales, purchases, expenses, receipts and payments.
- Pass journal, purchase, sales, debit note and credit note entries.
- Maintain customer and vendor ledgers.
- Ensure proper accounting of GST, freight, transportation, duties and other applicable charges.
- Maintain cash and petty cash records.
- Verify supporting documents before accounting entries.
- Ensure timely closure of daily accounting activities.
B. Accounts Receivable / Customer Management
- Prepare and maintain customer outstanding statements.
- Monitor receivables and overdue payments.
- Follow up with the sales team for pending collections.
- Prepare ageing reports.
- Reconcile customer accounts.
- Verify sales invoices and payment receipts.
- Track advances received from customers.
- Maintain proper documentation for credit notes and adjustments.
C. Accounts Payable / Vendor Management
- Verify supplier invoices against purchase orders and supporting documents.
- Maintain vendor ledgers and outstanding statements.
- Prepare payment schedules.
- Track supplier advances.
- Reconcile vendor accounts.
- Ensure payments are made as per approved payment terms.
- Identify duplicate or incorrect invoices.
- Coordinate with purchase and stores teams for invoice verification.
3. GST & TAXATION
The candidate should have strong practical knowledge of Indian taxation and GST compliance.
GST Responsibilities
- Preparation and filing support for:
- GSTR-1
- GSTR-3B
- GSTR-2B reconciliation
- Annual GST return / related workings
- Reconcile purchase register with GSTR-2B.
- Verify Input Tax Credit.
- Identify mismatches and follow up with vendors.
- Check GST applicability on purchases and sales.
- Handle GST invoices, credit notes and debit notes.
- Maintain GST reconciliation records.
- Coordinate with CA / tax consultants for GST matters.
- Assist in GST notices, assessments and departmental queries.
TDS
- Calculate and account for TDS.
- Prepare TDS workings.
- Timely deposit of TDS.
- Prepare and support quarterly TDS returns.
- Verify TDS certificates.
- Reconcile TDS payable and receivable.
- Coordinate with consultants for TDS-related compliance.
Income Tax
- Basic practical knowledge of income-tax provisions.
- Maintain records required for income-tax computation.
- Assist CA in tax audit and income-tax return preparation.
- Provide financial data and supporting documents to consultants.
4. BANKING & FINANCE OPERATIONS
- Daily bank reconciliation.
- Monitor bank balances.
- Prepare payment instructions.
- Maintain bank-related documentation.
- Track cheque/NEFT/RTGS/IMPS transactions.
- Monitor customer collections.
- Maintain loan and CC facility records.
- Track interest, bank charges and other financial costs.
- Reconcile bank statements with books.
- Prepare bank statements and financial information required by management.
- Coordinate with banks regarding routine documentation and financial requirements.
- Assist in working-capital and cash-flow management.
5. IMPORT / EXPORT ACCOUNTING
Preferred / Advantageous Experience
Since the company deals with manufacturing and potentially international sourcing/OEM transactions, the candidate should ideally understand:
- Import purchase accounting.
- Foreign currency transactions.
- Supplier advances.
- LC / TT / advance payment accounting.
- Bill of Entry accounting.
- Customs duty and import-related expenses.
- Freight and clearing charges.
- IGST on imports.
- Shipping and logistics documentation.
- Export invoice accounting.
- Foreign currency receivables/payables.
- Exchange-rate differences.
- Bank realization / export payment documentation.
- Coordination with CHA, freight forwarders and banks.
6. MANUFACTURING ACCOUNTING
Experience in a manufacturing environment will be strongly preferred.
Candidate should understand:
- Raw material accounting.
- Finished goods accounting.
- Work-in-progress.
- Purchase and consumption accounting.
- Production-related expenses.
- Job work accounting.
- Manufacturing overheads.
- Inventory valuation.
- Stock reconciliation.
- Costing of products.
- Material consumption analysis.
- Production vs. sales reconciliation.
- Wastage / scrap accounting.
- Factory expenses.
- Cost per unit calculation.
The candidate should be able to work closely with Purchase, Production, Stores and Sales departments.
7. INVENTORY & STOCK ACCOUNTING
- Maintain proper inventory records.
- Reconcile physical stock with accounting records.
- Monitor raw material and finished goods inventory.
- Track stock transfers.
- Track inward and outward material.
- Coordinate periodic physical stock verification.
- Identify stock discrepancies.
- Maintain stock valuation.
- Monitor slow-moving and obsolete inventory.
- Prepare inventory reports for management.
8. MIS & MANAGEMENT REPORTING
The Accountant will be responsible for preparing regular financial reports for management.
Daily / Weekly Reports
- Bank position.
- Cash position.
- Customer outstanding.
- Vendor outstanding.
- Collection report.
- Payment report.
- Sales summary.
- Purchase summary.
- Stock summary.
Monthly MIS
- Profit & Loss statement.
- Sales analysis.
- Purchase analysis.
- Gross margin analysis.
- Customer-wise sales.
- Product-wise sales.
- Expense analysis.
- Receivable ageing.
- Payable ageing.
- Inventory report.
- Cash-flow statement.
- Working-capital position.
- Budget vs. actual analysis.
The candidate should be able to explain the numbers to management and highlight major variances, risks and unusual transactions.
9. MONTH-END CLOSING
- Complete monthly books closure.
- Pass necessary provisions and adjustment entries.
- Reconcile all major ledgers.
- Reconcile GST balances.
- Reconcile bank accounts.
- Reconcile customer and vendor balances.
- Verify outstanding expenses.
- Verify advances.
- Review inventory balances.
- Prepare monthly P&L.
- Provide required schedules to CA / auditors.
- Ensure all supporting documents are properly filed.
10. AUDIT & CA COORDINATION
- Coordinate with Chartered Accountant and auditors.
- Prepare audit schedules.
- Provide ledgers and supporting documents.
- Assist in statutory audit.
- Assist in tax audit.
- Resolve accounting queries.
- Maintain proper documentation.
- Support financial statement preparation.
- Respond to routine accounting and compliance requirements.
11. SOFTWARE & SYSTEM KNOWLEDGE
Mandatory

Excel Skills Required
Candidate should be comfortable with:
- VLOOKUP / XLOOKUP

- MIS preparation
- Basic financial analysis
Knowledge of Power BI / ERP / SAP / Zoho Books / Busy will be an advantage.
12. QUALIFICATION
Minimum Qualification
- B.Com / M.Com preferred.
- CA Inter / CMA Inter will be an advantage.
- Relevant accounting certification will be considered.
Experience
3–6 years of practical accounting experience.
Preference will be given to candidates with experience in:
- Manufacturing companies
- Luggage / bags / textile / consumer products
- Trading companies
- Import & export companies
- OEM businesses
- Corporate gifting companies

16. IDEAL CANDIDATE PROFILE
The ideal candidate should be more than a traditional "Tally Operator."
We need a person who can function as an Accounts & Finance Executive, understand the business numbers and independently manage the complete accounting cycle.
The candidate should be capable of answering questions such as:
- How much money is currently receivable?
- Which customers are overdue?
- How much do we owe suppliers?
- What is our actual gross margin?
- How much GST/Input Tax Credit is available?
- What is our monthly cash requirement?
- What is our inventory value?
- What is our outstanding bank/CC position?
- Which expenses have increased?
- What is our product/customer profitability?
- What payments are due this week?
- What collections are expected this week?
- Are there any accounting or compliance risks?
17. EXPERIENCE PREFERRED
Candidates from the following backgrounds will be given preference:
Manufacturing + Trading + GST + Tally + Banking + Inventory + MIS
Experience with Import/Export and OEM manufacturing will be a significant advantage.
