Job Description
JOB DESCRIPTION – FIELD EXECUTIVEPosition: Field Executive – Government Contract OperationsThe Field Executive will be responsible for coordinating and managing day-to-day operational and administrative activities across multiple government project sites in different states.
- Key ResponsibilitiesInvoice & Bill Submission
- Prepare and submit monthly invoices/bills to the concerned Government Department/Buyer within the prescribed timeline.
- Follow up with officials regarding bill processing, approvals, objections, deductions and payments.
- Maintain proper records of invoices, supporting documents, acknowledgements and payment status.
- Coordination with Government Officials
- Coordinate regularly with Government officials, department representatives, site in-charges and other concerned authorities.
- Communicate company requirements and resolve routine operational and administrative issues.
- Attend meetings, discussions and official correspondence whenever required.
- Site Coordination & Problem Solving
- Monitor the smooth functioning of company operations at assigned sites.
- Identify site-level issues and coordinate with the management for timely resolution.
- Visit project sites whenever required for inspection, verification, problem-solving or coordination.
- Ensure that instructions received from the management and concerned officials are properly communicated and implemented at the site.
- Multi-State Site Management
- Coordinate with multiple project locations situated across different states.
- Maintain regular communication with site supervisors, employees and departmental representatives.
- Travel to different project locations whenever operational requirements arise.
- Documentation & Compliance Support
- Collect and maintain site-related documents, attendance records, work completion reports, bills, photographs and other required records.
- Coordinate with the accounts and administrative teams for timely submission of required documents.
- Ensure that important deadlines relating to contracts, invoices, renewals, submissions and compliance are monitored.
- New Business / Lead Generation
- Identify new business opportunities in Government Departments, PSUs, Railways, GeM and other organizations.
- Generate and develop new leads for manpower, housekeeping, security, facility management and other support-service contracts.
- Maintain a database of prospective clients and regularly follow up with them.
- Coordinate with management for tender opportunities, pre-bid meetings, enquiries and potential new contracts.
- Reporting to Management
- Submit regular updates regarding site operations, pending issues, invoices, payments, official communications and new business leads.
- Immediately report any major complaint, dispute, contractual issue or operational problem to the management.
- Maintain confidentiality of company, client and contractual information.
- Essential SkillsGood communication and coordination skills.
- Ability to communicate professionally with Government officials.
- Good knowledge of documentation and invoice/bill submission procedures.
- Problem-solving and follow-up skills.
- Willingness to travel to different project locations.
- Basic knowledge of MS Office, email and online portals.
- Ability to manage multiple assignments and deadlines simultaneously.
- Business development and lead-generation skills.
Performance ExpectationsThe Field Executive is expected to ensure:
Timely Bill Submission → Effective Official Coordination → Fast Problem Resolution → Regular Site Monitoring → Proper Documentation → Payment Follow-up → New Lead Generation
The position requires flexibility to travel and visit any company project/site whenever required by the management.
