Position: Admin Executive

Job SummaryWe are looking for a responsible and well-organized Admin Executive to manage day-to-day office administration, documentation, coordination, and support activities. The candidate should have good communication skills, basic computer knowledge, and the ability to coordinate with employees, vendors, clients, and site teams.
- Key ResponsibilitiesManage daily office administration and routine operational activities.
- Maintain employee attendance, leave records, joining documents, and personnel files.
- Prepare offer letters, appointment letters, warning letters, notices, and other official correspondence.
- Maintain physical and digital records of agreements, invoices, bills, purchase orders, and office documents.
- Coordinate with site engineers, project managers, vendors, consultants, and office staff.
- Handle incoming and outgoing emails, calls, couriers, and official letters.
- Schedule meetings, appointments, interviews, and management reviews.
- Prepare meeting agendas and maintain minutes of meetings when required.
- Monitor office stationery, housekeeping supplies, and other administrative requirements.
- Coordinate with vendors for office maintenance, repairs, printing, stationery, and other services.
- Maintain records of company assets, laptops, mobile phones, keys, and office equipment.
- Assist the accounts department with bill collection, invoice submission, payment follow-ups, and expense records.
- Follow up with employees and site teams for daily reports, attendance, documents, and approvals.
- Support recruitment activities, including interview scheduling and candidate coordination.
- Maintain confidentiality of company, employee, and management information.
- Perform other administrative duties assigned by the management.
- Required SkillsGood verbal and written communication skills in English, Hindi, and Marathi.
- Proficiency in Microsoft Word, Excel, email, and basic office software.
- Good documentation and record-maintenance skills.
- Ability to multitask and manage priorities.
- Professional telephone and email etiquette.
- Strong follow-up and coordination skills.
- Basic knowledge of HR and accounts-related documentation will be preferred.
- QualificationGraduate in any discipline.
- Diploma or certification in Office Administration, HR, or a related field will be an advantage.
