The Facility Executive - Soft Services is responsible for managing and overseeing all soft service operations within the facility, ensuring a safe, clean, hygienic, and comfortable workplace environment. The role involves supervision of housekeeping, pantry operations, pest control, landscaping, waste management, vendor management, and client coordination while ensuring compliance with service level agreements (SLAs), company policies, and statutory requirements.

Soft Services Operations Management

• Manage daily housekeeping activities to ensure high standards of cleanliness and hygiene across office premises.
• Oversee pantry operations, ensuring uninterrupted service and availability of consumables.
• Coordinate pest control, landscaping, horticulture, and waste management activities.
• Conduct routine inspections and audits to identify service gaps and implement corrective actions.
• Ensure all common areas, meeting rooms, washrooms, and workstations are maintained as per defined standards.

Vendor Management

• Supervise housekeeping, pantry, pest control, and other soft service vendors.
• Monitor vendor performance against contractual obligations and SLAs.
• Verify attendance, deployment, grooming, and productivity of vendor manpower.
• Conduct regular vendor review meetings and ensure timely resolution of operational issues.

Client & Stakeholder Management

• Serve as the primary point of contact for facility-related soft service concerns.
• Address occupant complaints, requests, and escalations within committed timelines.
• Maintain strong relationships with client representatives and internal stakeholders.
• Ensure high levels of customer satisfaction through proactive support and service delivery.

Audit & Compliance

• Conduct daily facility inspections and maintain audit reports.
• Ensure compliance with EHS (Environment, Health & Safety) guidelines and site policies.
• Maintain records related to housekeeping schedules, pest control activities, and vendor compliance.
• Support internal and external audits and ensure closure of observations.

Inventory & Asset Management

• Monitor stock levels of housekeeping materials, pantry consumables, and cleaning equipment.
• Raise indents and coordinate procurement of required materials.
• Maintain inventory records and ensure optimum utilization of resources.
• Track consumption patterns and identify opportunities for cost optimization.

Administration & Reporting

• Prepare daily, weekly, and monthly operational reports.
• Maintain records of complaints, service requests, inspections, and vendor performance.
• Track and verify vendor invoices before submission for processing.
• Support budget tracking and cost control initiatives.

Event & Meeting Support

• Coordinate facility arrangements for events, meetings, town halls, and VIP visits.
• Ensure meeting rooms, conference facilities, and event spaces are adequately prepared.
• Manage special cleaning and support requirements during business events.

Safety & Risk Management

• Ensure housekeeping staff adhere to safety procedures and use PPE appropriately.
• Identify potential risks and hazards and coordinate corrective actions.
• Participate in emergency response drills and business continuity activities.
