Role Overview
The Head Office Manager will be responsible for the overall administration, coordination, monitoring, and smooth functioning of the Head Office, while providing centralized support and coordination to operations across multiple states, branches, departments, and business functions.
The position requires strong leadership, organizational, communication, coordination, and problem-solving skills, with the ability to manage multiple priorities and work closely with senior management and state/branch teams.
Key Responsibilities
1. Head Office Administration
Manage the day-to-day functioning of the Head Office.
Ensure effective coordination between management, departments, state offices, branches, and field teams.
Establish and maintain efficient administrative systems, processes, and workflows.
Monitor office infrastructure, facilities, housekeeping, security, stationery, equipment, and other administrative requirements.
Ensure proper maintenance of records, files, registers, agreements, licenses, and official documents.
Coordinate meetings, reviews, conferences, and official programs.
2. Multi-State Coordination
Act as the central coordination point between Head Office and state/branch offices.
Obtain regular operational, financial, administrative, and performance reports from different states.
Track action points and ensure timely implementation of management decisions.
Monitor compliance with Head Office policies and procedures across locations.
Identify operational issues and escalate critical matters to senior management.
Facilitate communication and information flow between different states and departments.
3. Operations & Performance Monitoring
Monitor overall operational activities across multiple functions and locations.
Prepare periodic MIS reports, dashboards, summaries, and management updates.
Track targets, deadlines, pending activities, and key performance indicators.
Follow up with responsible departments and state teams for timely completion of tasks.
Identify gaps, inefficiencies, and areas for improvement.
Support management in implementing new systems, projects, and organizational initiatives.
4. HR & Staff Coordination
Coordinate with HR regarding recruitment, onboarding, attendance, leave, transfers, training, performance, and employee-related matters.
Maintain staff-related administrative records and documentation.
Support development and implementation of HR policies and procedures.
Coordinate interdepartmental manpower requirements.
Promote discipline, professionalism, teamwork, and effective workplace communication.
5. Finance & Administrative Coordination
Coordinate with the Finance/Accounts Department for budgets, expenses, payments, procurement, and financial documentation.
Monitor administrative expenses and ensure adherence to approved budgets.
Coordinate with state offices regarding financial and administrative requirements.
Ensure timely submission of required bills, statements, supporting documents, and reports.
Assist management in cost-control and resource-optimization initiatives.
6. Procurement & Vendor Management
Coordinate procurement of office supplies, equipment, services, and other requirements.
Maintain approved vendor records and coordinate vendor activities.
Obtain quotations and assist in vendor evaluation and negotiation where required.
Monitor service contracts, renewals, maintenance, and vendor performance.
Ensure procurement follows organizational policies and approval procedures.
7. Compliance & Documentation
Ensure timely renewal and maintenance of applicable registrations, licenses, agreements, insurance, and statutory/administrative documents.
Coordinate with legal, compliance, HR, finance, and external professionals when required.
Maintain proper documentation and ensure confidentiality of organizational information.
Support internal and external audits and inspections.
8. Management Support
Serve as a key administrative and operational support to the Managing Director/CEO.
Prepare agendas, reports, presentations, minutes, and action trackers for management meetings.
Follow up on decisions taken by senior management.
Provide management with timely information regarding operational issues, risks, and opportunities.
Handle sensitive and confidential matters with discretion.
9. Communication & Coordination
Maintain professional communication with government authorities, vendors, consultants, partners, clients, and other stakeholders as authorized.
Coordinate official correspondence and communications.
Ensure important instructions and policies are communicated effectively to concerned teams.
Develop a culture of timely reporting and accountability across the organization.
Key Performance Indicators (KPIs)
Smooth and efficient functioning of the Head Office.
Timely completion of management action points.
Timeliness and accuracy of MIS and management reports.
Effective coordination between states, branches, and departments.
Compliance with organizational policies and procedures.
Administrative cost control and resource optimization.
Timely renewal of licenses, contracts, and important documents.
Resolution time for administrative and operational issues.
Employee and internal stakeholder satisfaction.
Successful implementation of management initiatives and projects.
Required Qualifications
Bachelor's degree in Business Administration, Management, Commerce, or a related field.
MBA/PGDM or equivalent qualification is preferred.
Additional qualifications in administration, operations, HR, finance, or project management will be an advantage.
Experience
8–15 years of relevant experience, preferably with significant experience in administration, operations, branch management, or corporate office management.
Experience managing multi-location, multi-state, or diversified/multipurpose organizations is highly preferred.
Experience working directly with senior management is desirable.

Escalate operational, financial, compliance, and personnel issues requiring management intervention.
