Dispatch Executive

Position: Dispatch Executive

Job Responsibilities

- Manage the complete dispatch process for granite, marble, nano slabs and tiles.

- Receive and verify dispatch instructions from the sales/accounts team.

- Prepare daily dispatch schedules according to customer requirements and delivery commitments.

- Coordinate with sales team, warehouse team, loading staff and drivers.

- Ensure the correct material, quantity, size, colour/design and customer order are dispatched.

- Prepare and maintain dispatch challans, invoices, delivery documents and loading records.

- Coordinate vehicle arrangements and assign vehicles according to delivery requirements.

- Ensure proper loading sequence to minimize damage to slabs and tiles.

- Check material before loading and report any shortage, damage or mismatch immediately.

- Track vehicles and coordinate with drivers until the material is delivered.

- Follow up with customers regarding delivery timing when required.

- Maintain records of pending, dispatched and delivered orders.

- Update the team regarding delivery status and delays.

- Coordinate with the loading/unloading staff for smooth and timely dispatch.

- Handle urgent and priority deliveries efficiently.

- Maintain proper documentation and filing of dispatch records.

- Ensure that no material leaves the premises without proper authorization and documentation.

- Identify and report dispatch-related issues to the management.

- Maintain discipline and proper organization in the dispatch area.

Daily Responsibilities

- Check all orders pending for dispatch.

- Prepare the daily dispatch plan.

- Confirm material availability with the warehouse.

- Arrange vehicles and loading manpower.

- Verify material before loading.

- Ensure documents are ready before the vehicle leaves.

- Track deliveries and update delivery status.

- Maintain a list of pending and delayed deliveries.

- Submit the end-of-day dispatch report to management.

Requirements

- Experience: 1–3 years in dispatch, logistics, warehouse or building-material industry preferred.

- Good knowledge of material handling and transportation.

- Basic computer knowledge and ability to maintain Excel/records.

- Good communication and coordination skills.

- Ability to manage multiple deliveries simultaneously.

- Must be responsible, punctual and organized.

- Experience with granite, marble, tiles or construction materials will be an advantage.
