Job SummaryWe are looking for a highly attentive, language-proficient, and detail-oriented Proofreader for our book publishing division.

The candidate will be responsible for proofreading and checking textbooks, reference books, guidebooks, question banks, workbooks, competitive examination books, test papers, study materials, and other educational publications before they are released for printing.

The primary responsibility of the Proofreader is to ensure that every publication is grammatically correct, factually consistent, properly formatted, easy to understand, and free from spelling, typing, punctuation, and other publishing errors.

The ideal candidate should have a sharp eye for mistakes and the ability to identify even small errors that may otherwise be overlooked.

  • Key Responsibilities1. Proofreading & Error DetectionRead manuscripts, first proofs, revised proofs, and final proofs carefully.
  • Identify and correct spelling mistakes.
  • Identify grammatical and punctuation errors.
  • Detect typographical and typing mistakes.
  • Check sentence construction and readability.
  • Identify missing words, sentences, paragraphs, or content.
  • Detect repeated words, sentences, paragraphs, questions, or pages.
  • Check incorrect use of capital letters, punctuation marks, spaces, and special characters.
  • Identify unnecessary or incorrect text.
  • Ensure corrections are made without changing the intended meaning of the content.
  • 2. Language & Grammar CheckingCheck grammar, spelling, punctuation, sentence structure, and word usage.
  • Ensure sentences are clear, meaningful, and easy for students to understand.
  • Check consistency of language throughout the book.
  • Identify awkward, incomplete, or unclear sentences.
  • Suggest appropriate corrections wherever required.
  • Maintain consistency in terminology, abbreviations, capitalization, and writing style.
  • Check translations and multilingual content where applicable.

3. Language RequirementsThe candidate must have strong reading and writing ability in at least two languages.

Mandatory combinations may include:

  • English + Bengali
  • English + Hindi

Knowledge of English + Hindi + Bengali will be a strong advantage.

The candidate should have a good command of grammar, spelling, vocabulary, and sentence construction in the languages they work with.

4. Academic Content CheckingSince the role involves educational publications, the candidate should have a good general understanding of academic subjects.

  • 5. Questions, Answers & MCQ CheckingCheck whether questions are written clearly and correctly.
  • Verify question numbering and sequence.
  • Check whether answer options such as (a), (b), (c), and (d) are properly arranged.
  • Check answer keys against the questions wherever possible.
  • Identify duplicate questions or answer options.
  • Check whether any question or option is missing.
  • Verify that answers and explanations correspond to the correct questions.
  • Check assertion-reason, match-the-column, fill-in-the-blanks, true/false, and other question formats for proper structure.
  • Ensure instructions to students are clear and correctly written.

6. Mathematical & Scientific ContentCandidates who are comfortable reviewing basic mathematical and scientific content will be preferred.

Responsibilities may include:

  • Checking mathematical symbols and equations.
  • Checking fractions, powers, roots, signs, brackets, and other symbols.
  • Identifying obvious mistakes in formulas.
  • Checking numbering and references to equations.
  • Checking scientific names, units, symbols, and terminology.
  • Reviewing tables, graphs, charts, and diagrams for obvious inconsistencies.
  • Ensuring labels and captions correspond with diagrams.

Complex subject-related errors may be referred to the concerned subject expert or editor rather than changed without confirmation.

7. Page Layout & Formatting ChecksProofreading is not limited to text. The candidate should also check the overall presentation of the book.

This includes:

  • Page numbering.
  • Chapter numbering.
  • Headings and subheadings.
  • Font consistency.
  • Bold, italic, and underline usage.
  • Paragraph alignment.
  • Line and paragraph spacing.
  • Headers and footers.
  • Tables and boxes.
  • Bullets and numbering.
  • Image placement.
  • Diagram captions.
  • Chapter opening pages.
  • Blank or incorrectly placed pages.
  • Contents page and chapter references.

Any layout or formatting errors should be clearly marked for correction by the DTP team.

  • 8. Cross-Checking & ConsistencyCross-check chapter names with the table of contents.
  • Verify page references wherever mentioned.
  • Check consistency of names, terminology, spellings, and abbreviations throughout the book.
  • Ensure the same terminology is used consistently across chapters.
  • Check consistency between questions, answers, solutions, tables, diagrams, and captions.
  • Compare revised proofs with previous proofs to ensure requested corrections have actually been made.

9. Working With DTP OperatorsThe Proofreader will work closely with the DTP and production team.

Responsibilities include:

  • Clearly mark corrections for DTP Operators.
  • Explain corrections where required.
  • Ensure correction instructions are understandable and unambiguous.
  • Recheck pages after corrections are made.
  • Identify any new errors introduced during corrections.
  • Ensure corrections have not disturbed page layout, numbering, tables, images, or other content.

10. Multiple Rounds of ProofreadingThe candidate may be required to check a publication through several stages:

Manuscript → First Proof → Corrected Proof → Revised Proof → Final Proof → Print Approval

At every stage, the candidate should ensure that previously identified errors have been corrected and that no new errors have been introduced.

11. Final Proof / Pre-Printing Quality CheckBefore a book is approved for printing, the Proofreader may be required to perform a final quality check.

The final check should include:

  • Book title.
  • Author/editor name.
  • Edition/year.
  • Copyright information.
  • Contents.
  • Chapter sequence.
  • Page numbering.
  • Headings.
  • Questions and answers.
  • Images and diagrams.
  • Tables and charts.
  • Missing pages or content.
  • Printing-related text issues.
  • Final corrections.

The objective is to minimize errors before the publication goes to press.

12. Writing & Editing SkillsThe candidate should have good writing and editing ability.

Where required, the candidate should be able to:

  • Correct poorly constructed sentences.
  • Improve readability without changing the intended meaning.
  • Rewrite short sentences where necessary.
  • Suggest better words or expressions.
  • Correct grammatical structures.
  • Simplify unnecessarily complicated language.
  • Maintain language appropriate for the target class or age group.

Major rewriting or changes to the author's content should be referred to the Editor/Management for approval.

13. Research & VerificationWhere required, the Proofreader should be able to perform basic verification of:

  • Names.
  • Dates.
  • Places.
  • Historical events.
  • Terminology.
  • Definitions.
  • Spellings of personalities and organisations.
  • Academic terminology.
  • Common factual information.

If there is any doubt regarding a fact or answer, it should be highlighted for verification rather than assumed to be correct.
