Job Description
Key Responsibilities
Administrative SupportManage day-to-day administrative activities of the Director.
- Maintain files, records, and confidential documents.
- Prepare reports, letters, presentations, and business correspondence.
- Handle documentation and paperwork related to company operations.
Recruitment & HR CoordinationPost job advertisements on job portals and social media platforms.
- Screen applications and coordinate interviews.
- Maintain employee records and HR documentation.
- Follow up with candidates and recruitment agencies.
- Coordination & Follow-ups
Coordinate with vendors, consultants, clients, government offices, and service providers.
- Follow up on assigned tasks and ensure timely completion.
- Track pending work and provide regular status updates to the Director.
- Liaise with internal teams and external stakeholders.
Appointment & Calendar ManagementSchedule meetings, appointments, and business visits.
- Manage the Director’s calendar and travel arrangements.
- Coordinate conference calls and virtual meetings.
Accounts & Utility Coordination
Coordinate payment and documentation for GST, electricity, internet, mobile, rent, and other company bills.
- Maintain records of invoices, receipts, and payment schedules.
- Follow up with accountants, auditors, and service providers when required.
Courier & Office AdministrationManage courier dispatches and incoming deliveries.
- Track shipments and ensure timely delivery of documents.
- Handle office supplies, stationery, and vendor coordination.
- Maintain office records and administrative systems.
Director’s Office SupportAssist the Director with business and personal work-related coordination.
- Handle confidential information with professionalism and discretion.
- Ensure smooth execution of tasks assigned by the Director.
- Act as a central point of coordination between the Director and stakeholders.
Desired SkillsExcellent communication and follow-up skills.
- Strong organizational and multitasking abilities.
- Proficiency in MS Office, Google Workspace, Excel, and email management.
- Attention to detail and documentation skills.
- Ability to work independently and maintain confidentiality.
Experience1–5 years in Administration, Executive Assistant, Office Coordinator, or similar roles preferred.
