Job Description
We are seeking a professional, organized, and customer-focused Front Desk Executive to be the first point of contact for our clients. The ideal candidate will be responsible for managing front desk operations, handling client inquiries, scheduling appointments, maintaining records, and ensuring a seamless customer experience.
Key Responsibilities
- Front Desk & Client Management Welcome clients, patients, and visitors in a warm and professional manner.
- Manage walk-ins and appointment schedules efficiently.
- Handle incoming phone calls, WhatsApp messages, emails, and inquiries.
- Provide accurate information regarding services, programs, and packages.
- Ensure a positive client experience from arrival to departure.
- Appointment & Schedule Management Book, reschedule, and confirm appointments.
- Coordinate schedules of therapists, trainers, nutritionists, and consultants.
- Send appointment reminders and follow-up messages.
- Maintain daily appointment calendars and attendance records.
Billing & Administrative Support
- Generate invoices and collect payments.
- Maintain payment records and receipts.
- Assist with membership, package, and program enrollments.
- Prepare daily collection and attendance reports.
- Support management with administrative tasks and documentation.
Client Relationship Management
- Follow up with leads and prospective clients.
- Assist in converting inquiries into consultations and program enrollments.
- Maintain customer databases and CRM records.
- Handle client feedback and escalate concerns when required.
Facility Coordination
- Ensure reception and waiting areas remain clean and organized.
- Coordinate with housekeeping and support staff when required.
- Maintain inventory of office and reception supplies.
Required Qualifications
- Graduate in any discipline.
- 1–3 years of experience in front office, customer service, administration, or reception.
- Experience in healthcare, wellness, fitness, or hospitality will be an added advantage.
- Freshers with excellent communication skills may also apply.
Skills Required
- Excellent verbal and written communication skills.
- Strong interpersonal and customer service skills.
- Proficiency in MS Office (Word, Excel, Outlook).
- Familiarity with CRM and appointment scheduling software is preferred.
- Ability to multitask and work in a fast-paced environment.
- Good organizational and problem-solving abilities.
- Professional appearance and positive attitude.
Key Performance Indicators (KPIs)
- Appointment booking and attendance rates.
- Lead response and conversion rates.
- Client satisfaction and feedback scores.
- Accuracy of billing and records management.
- Timely follow-ups and customer communication.
Working Hours
- 6 days a week
- Rotational shifts as per business requirements.
- Weekend availability may be required.
