About the Role

We are looking for a detail-oriented E-Commerce & Retail Reconciliation Executive who will be responsible for reconciling sales, settlements, payments, deductions and accounting data across Amazon, other online marketplaces, retail outlets, banks and TallyPrime.

The person will own the reconciliation process from source reports through accounting and final settlement, identify mismatches and ensure that outstanding differences are resolved within defined timelines.

Key Responsibilities

1. Amazon & Marketplace Reconciliation

- Download and analyse Amazon MTR, settlement and transaction reports.

- Reconcile marketplace sales with OMS data and TallyPrime.

- Reconcile orders, cancellations, returns, refunds and credit notes.

- Verify marketplace commissions, shipping charges, penalties, GST and other deductions.

- Reconcile marketplace settlement amounts with actual bank credits.

- Identify short payments, excess deductions, duplicate entries and missing transactions.

- Maintain an ageing report of unresolved marketplace discrepancies.

- Coordinate with the concerned marketplace/support team for disputes and claims.

2. OMS–Tally Reconciliation

- Check data imported from OMS Guru into TallyPrime.

- Compare source marketplace reports with OMS-generated accounting data.

- Identify mapping errors, missing invoices, duplicate entries and incorrect ledger postings.

- Maintain a discrepancy log and ensure corrections are completed.

- Validate the import process before final accounting.

3. Retail Outlet Reconciliation

- Reconcile daily sales from all company-owned outlets with POS reports.

- Match POS sales with TallyPrime entries.

- Reconcile cash, UPI, credit/debit card and other payment modes.

- Identify cash shortages/excesses.

- Reconcile outlet-wise sales, collections and deposits.

- Maintain outlet-wise outstanding discrepancy reports.

4. Bank Reconciliation

- Reconcile bank statements with TallyPrime.

- Identify unmatched receipts, payments, bank charges and settlement entries.

- Track pending bank entries and unexplained credits/debits.

- Ensure bank reconciliation is completed within the defined monthly closing timeline.

5. GST & TCS Reconciliation Support

- Reconcile marketplace sales and GST data.

- Verify TCS deducted by marketplaces.

- Assist in reconciliation with GST reports and books.

- Coordinate with the CA/accounting team for unresolved GST differences.

- Maintain supporting documentation for audit and tax purposes.

6. MIS & Management Reporting

Prepare monthly reports covering:

- Marketplace sales vs Tally

- Marketplace settlement vs bank

- Outlet sales vs Tally

- Cash/UPI/card reconciliation

- Commission and deduction analysis

- Returns/refunds

- TCS reconciliation

- Outstanding discrepancies

- Unresolved claims

- Ageing of reconciliation differences

Technology Responsibilities

The candidate should actively improve the reconciliation process using:

- Advanced Excel

- Pivot Tables

- XLOOKUP / INDEX-MATCH

- SUMIFS / COUNTIFS

- Power Query

- Excel data cleaning and transformation

- TallyPrime import/export

- Basic automation tools

- AI-assisted data analysis

The candidate will be expected to reduce manual reconciliation work through standardised templates, automated matching and exception reports.
