Job Description
POST DESCRIPTION – SHIFT SUPERVISORDesignation: Shift Supervisor
Department: Production & Operations
Reporting To: Factory/Production Manager
Location: Factory Premises
Employment Type: Full-Time
1. Role & Position SummaryThe Shift Supervisor shall be responsible for the overall management, supervision, coordination and performance of the assigned production shift. The position involves direct responsibility for production output, manpower deployment, labour discipline, operational efficiency, quality compliance, safety, and smooth functioning of all production lines and associated work areas under the assigned shift.
The Shift Supervisor shall act as the primary operational authority during the assigned shift and shall coordinate with management, supervisors, workers, maintenance, stores, quality and other relevant departments to ensure uninterrupted and efficient production.
2. Key Duties & ResponsibilitiesA. Production & Output Management
- Plan, supervise and monitor production activities throughout the assigned shift.
- Ensure achievement of daily/shift-wise production targets as communicated by management.
- Monitor production output of each assigned line, section and work area.
- Identify production bottlenecks, delays, idle time and operational issues and take timely corrective action.
- Ensure optimum utilization of available machinery, manpower, materials and production resources.
- Maintain continuous production flow and minimize downtime and production losses.
- Report actual production, shortages, delays, breakdowns and other operational issues to management.
B. Manpower & Labour Management
- Take complete charge of the manpower deployed during the assigned shift.
- Allocate manpower to different production lines, activities and work areas according to operational requirements.
- Ensure adequate manpower availability at all critical points of production.
- Monitor attendance, punctuality, absenteeism, deployment and productivity of workers.
- Reallocate manpower between lines/areas whenever required to maintain production targets.
- Maintain discipline and proper conduct among workers during the shift.
- Address routine labour-related issues and escalate serious disciplinary or operational matters to management.
- Ensure that workers remain deployed at their designated work areas and perform assigned duties efficiently.
C. Line & Area Supervision
- Take responsibility for the functioning and output of multiple production lines and work areas assigned to the shift.
- Closely monitor individual line performance and ensure that each line operates according to the required production plan.
- Coordinate the movement of manpower between different lines and areas whenever required.
- Ensure proper coordination between different stages of production to avoid interruption or accumulation of work.
- Supervise multiple operational activities simultaneously and ensure that all assigned areas remain adequately managed.
D. Operational Coordination
- Coordinate with the Production Manager/Factory Manager regarding production plans, targets and manpower requirements.
- Coordinate with maintenance personnel regarding machinery breakdowns, defects and preventive maintenance requirements.
- Coordinate with stores/material personnel to ensure timely availability of required materials, packaging materials and other production inputs.
- Coordinate with quality personnel to ensure adherence to prescribed quality standards.
- Immediately communicate any major breakdown, shortage, safety issue, quality concern, labour issue or production disruption to management.
E. Quality & Process Compliance
- Ensure production is carried out according to prescribed processes, specifications and quality standards.
- Monitor workers for adherence to approved production procedures.
- Prevent avoidable wastage, damage, rejection and rework.
- Identify recurring quality or process issues and report them to management.
- Ensure proper handling and processing of materials and finished/semi-finished goods.
F. Labour Productivity & Efficiency
- Monitor productivity of workers and production lines.
- Ensure effective utilization of working hours and minimize idle manpower.
- Identify inefficient deployment or under-utilization of manpower and take corrective measures.
- Ensure that workers are assigned according to their skills and the operational requirements of the shift.
- Work towards improving production efficiency and reducing unnecessary manpower and material losses.
G. Safety, Discipline & Workplace Management
- Ensure workers follow factory safety rules and operational instructions.
- Monitor safe working practices throughout the shift.
- Immediately report accidents, unsafe conditions, equipment hazards or other safety-related incidents.
- Maintain proper discipline, cleanliness and orderly working conditions within the assigned production areas.
- Ensure unauthorized persons do not interfere with production operations.
H. Records & Shift Reporting
- Maintain/verify shift-wise production and manpower records as required.
- Record production output, manpower deployment, absenteeism, downtime, breakdowns, material shortages and significant incidents.
- Prepare and submit the required shift handover/report to the concerned management personnel.
- Ensure proper handover of pending work, production status, manpower position and operational issues to the incoming shift.
3. Overall AccountabilityThe Shift Supervisor shall be accountable for the overall performance and operational management of the assigned shift, including:
- Achievement of assigned production targets.
- Effective deployment and management of shift manpower.
- Performance of assigned production lines and work areas.
- Labour discipline and productivity.
- Minimization of production downtime and avoidable losses.
- Proper utilization of manpower, materials and machinery.
- Compliance with production, quality and safety procedures.
- Timely reporting of operational issues to management.
- Proper coordination between different departments and work areas.
- Smooth continuation and handover of production operations between shifts.
4. Authority & ResponsibilityDuring the assigned shift, the Shift Supervisor shall have the authority, within the limits prescribed by management, to deploy and reallocate manpower, assign workers to different production lines and activities, adjust manpower according to production requirements, coordinate operational activities, address routine labour and production issues, and take immediate operational decisions necessary for maintaining production continuity.
Any matter involving major financial decisions, disciplinary action, termination, significant contractual issues, major safety incidents or other matters specifically reserved for management shall be escalated to the Factory/Production Manager.
5. Performance EvaluationPerformance of the Shift Supervisor may be evaluated based on:
- Achievement of production targets.
- Shift-wise output and productivity.
- Effective manpower utilization.
- Labour attendance and discipline.
- Reduction of downtime and production losses.
- Quality and rejection levels.
- Compliance with safety and factory procedures.
- Timeliness and accuracy of shift reporting.
- Overall efficiency and smooth functioning of the assigned shift.
