Job Description

Experience: 5–8 years

Reporting To: Management / Head of Operations
About the Role - We are looking for an experienced Purchase Manager to manage end-to-end procurement of raw materials, fabrics, trims, packaging materials, consumables, machinery and other requirements for our manufacturing and operations.
The person will be responsible for ensuring the right quality, right quantity, right price and timely availability of materials while maintaining strong vendor relationships and controlling procurement costs.
Key Responsibilities
1. Procurement & Sourcing: -
Plan and execute purchases based on production requirements, inventory levels and sales forecasts.
- Source fabrics, raw materials, packaging materials, accessories, consumables and other operational requirements.
- Identify and develop new vendors to improve quality, pricing and supply reliability.
- Raise and manage Purchase Orders (POs).
- Ensure timely delivery of materials as per production schedules.
- Vendor Management Develop and maintain strong relationships with suppliers.
- Evaluate vendors based on price, quality, delivery timelines and service.
- Negotiate credit periods, MOQ, lead times, payment terms and other commercial conditions.
- Conduct periodic vendor performance reviews.
- Resolve issues related to quality, shortages, delays and rejected materials.
3. Inventory & Material PlanningCoordinate with Production, Warehouse, NPD and Planning teams to understand material requirements.
- Monitor stock levels and identify upcoming shortages.
- Maintain optimum inventory without excessive stock accumulation.
- Track slow-moving and excess inventory.
- Ensure critical materials are available on time to prevent production delays.
4. Cost ControlContinuously identify opportunities for cost reduction.
- Compare vendor quotations and conduct market price benchmarking.
- Negotiate bulk purchase discounts and improved commercial terms.
- Analyze purchase-price fluctuations and their impact on product margins.
- Maintain purchase cost records and prepare periodic cost reports.
5. Quality & ComplianceCoordinate with Quality and Production teams to ensure purchased materials meet specifications.
- Ensure proper approval of samples before bulk procurement.
- Handle supplier quality complaints and corrective actions.
- Maintain required vendor documentation and compliance records.
6. Purchase Operations & DocumentationMaintain accurate records of quotations, POs, invoices, GRNs and vendor details.
- Track PO status from placement through delivery.
- Coordinate with Accounts for invoice verification and vendor payments.
- Ensure proper documentation and adherence to company purchase procedures.
7. Team & Cross-Functional CoordinationWork closely with Production, Warehouse, NPD, Quality, Accounts and Management.
- Guide and supervise the purchase team.
- Establish systematic procurement processes and approval controls.
- Provide regular MIS and procurement reports to management.
- Key Performance Indicators (KPIs)Purchase cost savings achieved

- Ability to work under tight production deadlines
- Good understanding of purchase documentation and commercial terms
- Problem-solving and decision-making ability
Preferred ExperienceExperience in textile, home furnishing, garment, furniture, manufacturing or e-commerce-related procurement will be preferred.
Experience with ERP/Tally and advanced Excel will be an advantage.
