Job Description

Northon’s Media PR & Marketing Ltd is seeking an experienced and highly organised Conference & Events Organiser to join our growing team in Ahmedabad. The successful candidate will play a key role in planning, coordinating, and delivering international conferences, networking events, awards ceremonies, and industry-focused gatherings within the Intellectual Property (IP), legal, and professional services sectors.


This position requires excellent communication skills, strong attention to detail, and the ability to manage multiple projects simultaneously while liaising with senior legal professionals, international speakers, venue representatives, sponsors, and delegates from around the world.


Key Responsibilities: Event Planning & Coordination

  • Organise and coordinate conferences, awards ceremonies, networking receptions, webinars, and industry events.
  • Research and identify suitable venues globally based on budget, capacity, and event requirements.
  • Negotiate with hotels, conference centres, and event suppliers to secure the best rates and packages.
  • Develop detailed event timelines, schedules, and project plans.
  • Coordinate all event logistics, including venue setup, catering, audiovisual requirements, signage, and delegate management.


Speaker & Delegate Management

  • Liaise professionally with lawyers, intellectual property professionals, corporate counsel, government officials, and keynote speakers worldwide.
  • Coordinate speaker invitations, confirmations, biographies, presentations, and event requirements.
  • Ensure speakers receive all necessary event information and support before and during events.
  • Manage delegate registrations and attendee communications.


Supplier & Venue Management

  • Act as the primary point of contact for venues, suppliers, contractors, and event partners.
  • Coordinate accommodation, transportation, catering, and event materials where required.
  • Monitor supplier performance and ensure all deliverables are met on schedule.


Budget & Administration

  • Assist in preparing and managing event budgets.
  • Track event expenses and maintain accurate records.
  • Prepare post-event reports and performance evaluations.
  • Maintain event databases, contact lists, and project documentation.


Marketing & Promotion Support

  • Work closely with the marketing team to support event promotion.
  • Assist with speaker announcements, event updates, and attendee communications.
  • Coordinate with media partners and sponsors where required.


Essential Requirements

  • Minimum 2 years' experience in conference management, event planning, hospitality, or a similar role.
  • Outstanding spoken and written English.
  • Clear, confident, and professional telephone manner.
  • Experience communicating with senior professionals and international clients.
  • Excellent organisational and time-management skills.
  • Ability to manage multiple projects simultaneously and meet strict deadlines.
  • Strong negotiation and relationship-building skills.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).
  • Ability to work independently while collaborating effectively with a wider team.
  • Professional appearance and conduct.


Preferred Qualifications

  • Previous experience organising international conferences or business events.
  • Experience working with legal, professional services, or corporate clients.
  • Knowledge of event management platforms and registration systems.
  • Bachelor's degree in Event Management, Hospitality, Marketing, Business Administration, or a related field.
