Job Description
About the Role
We’re looking for a highly organized Executive Assistant to support senior leadership. You’ll own diary management, multiple tasking, and all digital work to keep things running smoothly.
Key Responsibilities
1. Diary & Calendar Management
- Manage and prioritize exec diary: meetings, travel, calls, and commitments
- Proactively resolve scheduling conflicts and find optimal times
- Prepare briefing notes and agendas ahead of meetings
2. Multiple Tasking & Admin Support
- Handle emails, calls, and correspondence with professionalism and discretion
- Coordinate projects across teams and track deadlines
- Arrange travel, accommodation, and expense claims
- Prepare reports, presentations, and documents
3. Digital Work & Tools
- Manage digital files: Google Drive / OneDrive / Dropbox organization
- Create decks, docs, and sheets. Basic Canva/design is a plus
- Maintain digital contact lists and databases
- Research, online admin, and follow-ups
What We’re Looking For
- Experience: 2+ years as an EA, PA, or in a fast-paced admin role
- Industry Background: Ideally experience in Real Estate or HR — familiarity with property processes, client handling, recruitment, onboarding, or HR systems is a plus
- Skills:
- Exceptional organization and diary management
- Strong multi-tasking and prioritization under pressure
- Proficient in MS Office, Google Workspace, and digital collaboration tools
- Excellent written + verbal communication
- High attention to detail and confidentiality
- Traits: Proactive, calm under pressure, problem-solver, discreet
Nice to Have
- Experience supporting C-level executives
- Basic social media to manage LinkedIn and insta
