Job Summary
The Sales Coordinator provides administrative and operational support to the sales team to ensure smooth execution of sales activities. The role involves processing customer orders, preparing quotations, coordinating with internal departments, maintaining sales records, and ensuring timely communication with customers. The Sales Coordinator plays a key role in delivering excellent customer service and supporting the achievement of sales targets.
Key Responsibilities
- Coordinate daily sales operations and provide administrative support to the sales team.
- Prepare and send quotations, proposals, and sales-related documents.
- Process customer orders accurately and ensure timely order execution.
- Coordinate with production, logistics, warehouse, and finance teams to ensure on-time deliveries.
- Maintain customer records, sales databases, and CRM systems.
- Track orders from receipt to delivery and provide regular status updates to customers.
- Respond promptly to customer inquiries and resolve routine issues or escalate them when necessary.
- Prepare sales reports, MIS reports, forecasts, and performance dashboards.
- Follow up on pending quotations, purchase orders, payments, and customer requirements.
- Assist in organizing customer meetings, product presentations, exhibitions, and promotional activities.
- Support the sales team in achieving monthly and annual sales targets.
- Maintain accurate documentation of contracts, agreements, and correspondence.
- Coordinate with the finance department regarding invoicing and payment follow-ups.
- Ensure compliance with company policies and sales procedures.
- Perform other duties assigned by the Sales Manager.
Qualifications
- Bachelor's degree in Business Administration, Commerce, Marketing, or a related field.
- 1–3 years of experience in sales coordination, customer support, or sales administration. Fresh graduates with strong communication and organizational skills may also be considered.
Required Skills
- Excellent verbal and written communication skills.
- Strong customer service and relationship management skills.
- Proficiency in Microsoft Office, especially Excel, Word, and PowerPoint.
- Experience with CRM and ERP software is preferred.
- Strong organizational and time management skills.
- Ability to multitask and prioritize work effectively.
- High level of accuracy and attention to detail.
- Good analytical and reporting skills.
- Problem-solving and coordination abilities.
- Ability to work independently as well as in a team environment.
