Job Purpose: This position provides comprehensive administrative and strategic support to the Chief of Projects, ensuring efficient management of project-related activities, documentation, and communication. The role is pivotal in organizing, coordinating, and tracking project progress, facilitating effective communication with internal and external stakeholders, and supporting the Chief of Projects in decision-making and strategic planning efforts.
Secretary to Chief of Projects
Strategic Support:
Assist the Chief of Projects in preparing strategic plans, project proposals, and business cases by providing necessary data, conducting preliminary research, and organizing documentation.
Compile, analyse, and present data for feasibility studies and market analysis, working with consultants as needed.
Support in the preparation and presentation of detailed project proposals, NFAs, and strategic inputs for critical decision-making areas.
Project Coordination and Document Management:
Manage and organize all project-related documentation, ensuring that all documents, including project plans, timelines, and resource allocations, are up-to-date and accessible.
Assist in coordinating with various departments (Engineering, Civil, Mechanical, Electrical, and C&I) to ensure cohesive planning and smooth project execution.
Track project milestones, deliverables, and schedules (L2 and L3), alerting the Chief of Projects to any potential delays or issues.
Scheduling and Communication:
Manage the Chief of Projects' calendar, scheduling meetings, site visits, and coordination calls with internal and external stakeholders.
Prepare agendas, take minutes, and follow up on action items from meetings to ensure that all stakeholders are informed and aligned.
Coordinate communication between the Chief of Projects and various teams, including vendors, contractors, and regulatory bodies.
Regulatory Compliance and Risk Management:
Assist in the preparation and organization of permits, licenses, and regulatory documents required for project compliance.
Monitor and track the status of regulatory approvals, ensuring that all necessary clearances (environmental, water, regulatory) are obtained on time.
Help in identifying potential risks and challenges, organizing documentation for risk mitigation strategies, and maintaining contingency plans.
Vendor and Stakeholder Coordination:
Coordinate with vendors, contractors, and consultants, ensuring timely communication and delivery of materials and services.
Maintain effective communication with stakeholders, including government agencies and local communities, ensuring their concerns are addressed and expectations are managed.
Financial and Budgetary Support:
Assist in the preparation and review of project budgets, monitoring expenditures, and ensuring adherence to financial constraints.
Support the Chief of Projects in managing cash flows, preparing financial reports, and coordinating with the finance department for budget approvals and disbursements.

Work Experience (Range of years):
6+ years of experience as a secretary or administrative assistant in a project-based environment
Preferred Industry:
Experience in providing administrative support within sectors involving large-scale projects or corporate operations. Familiarity with project management processes and organizational structures is preferred.
