Job Description

Job Title: Back Office Executive – Customer Query & Quotation Management

Job Summary. The Back Office Executive is responsible for handling customer inquiries received via email, reviewing customer requirements, preparing quotations, coordinating with internal departments, and ensuring timely responses to customers.


  • Key Responsibilities Monitor and manage customer emails on a daily basis.
  • Review customer inquiries and understand requirements.
  • Gather necessary information from sales, procurement, and operations teams.
  • Prepare and draft accurate quotations as per company pricing policies.
  • Verify product/service details, pricing, and delivery timelines.
  • Send quotations and related documents to customers.
  • Maintain records of quotations, customer communications, and follow-ups.
  • Track quotation status and update internal systems.
  • Follow up with customers regarding pending quotations.
  • Ensure timely and professional communication with customers.
  • Support the sales team with administrative and documentation tasks.
  • Required SkillsGood written and verbal communication skills.
  • Proficiency in Microsoft Office (Excel, Word, Outlook).
  • Attention to detail and accuracy.
  • Ability to manage multiple tasks and deadlines.
  • Basic knowledge of quotation preparation and documentation.
  • Strong organizational and record-keeping skills.
  • QualificationBachelor's Degree in Commerce, Business Administration, or related field.
  • 1–3 years of experience in back office, customer support, or sales coordination preferred.
  • Key Performance Indicators (KPIs)Timely response to customer inquiries.
  • Accuracy of quotations issued.
  • Number of quotations processed.
  • Customer satisfaction with response quality.
  • Proper maintenance of records and documentation.
