Job Description
- Key ResponsibilitiesExecutive SupportManage the COO's calendar, appointments, meetings, and travel plans.
- Prioritize and organize daily tasks to maximize executive productivity.
- Screen calls, emails, and correspondence while ensuring prompt responses.
- Prepare agendas, meeting minutes, presentations, and confidential documents.
- Operations CoordinationCoordinate with Branch Managers, Regional Managers, HR, Marketing, Finance, Medical, and Training departments.
- Track operational KPIs across all clinic locations.
- Ensure timely follow-up on action items assigned by the COO.
- Monitor project timelines and escalate delays when necessary.
- Business Reporting & MISPrepare daily, weekly, and monthly operational reports.
- Analyze branch performance, revenue, conversion, patient footfall, and productivity data.
- Maintain dashboards and performance trackers.
- Present insights and recommendations to support decision-making.
- Project ManagementAssist in executing strategic initiatives launched by the COO.
- Coordinate new branch openings, operational improvements, and special projects.
- Track project milestones and ensure timely completion.
- Liaise with internal teams and external vendors.
- Communication & Stakeholder ManagementAct as the primary communication bridge between the COO and various departments.
- Coordinate leadership meetings and circulate MOM (Minutes of Meeting).
- Maintain professional relationships with vendors, consultants, and senior stakeholders.
- Documentation & ComplianceMaintain confidential operational records and business documents.
- Ensure proper filing and document management.
- Assist in preparing SOPs, policies, and operational manuals.
- Support compliance initiatives and internal audits.
- Administrative ExcellenceArrange travel, accommodation, and event logistics.
- Organize leadership meetings, conferences, and business reviews.
- Handle expense records and executive documentation.
- Required QualificationsBachelor's degree in Business Administration, Management, Healthcare Administration, or a related field.
- MBA preferred.
- Experience3–7 years as an Executive Assistant, Executive Coordinator, Project Coordinator, or Operations Executive.
- Experience supporting CXO-level executives is preferred.
- Experience in healthcare, hospitals, clinics, retail chains, or multi-location organizations is an advantage.
- Required SkillsExcellent verbal and written communication.
- Strong organizational and multitasking abilities.
- Advanced MS Excel, PowerPoint, and Microsoft Office skills.
- Data analysis and MIS reporting.
- Project coordination and follow-up.
