Job Description
About the RoleWe are looking for a smart, organized, and highly proactive Executive Assistant to the Managing Director who can efficiently manage daily operations, coordinate with internal teams and customers, and ensure timely follow-ups on every task.
This is a position of trust and responsibility. The ideal candidate should be disciplined, detail-oriented, and capable of handling multiple assignments while maintaining complete confidentiality.
- Key ResponsibilitiesManage the Managing Director's calendar, appointments, meetings, and travel plans.
- Take meeting notes and prepare Minutes of Meeting (MOM).
- Ensure timely follow-up with customers, suppliers, and internal departments.
- Track pending tasks and ensure completion within deadlines.
- Prepare reports, presentations, and business documents using MS Excel and MS Word.
- Draft professional emails and business correspondence.
- Coordinate with different departments and maintain smooth communication.
- Maintain confidential records and important company documents.
- Handle administrative and office coordination work.
Skills Required⭐ Most Important RequirementExcellent Follow-up Skills (Mandatory)
The candidate must have exceptional follow-up abilities. She should consistently track tasks, remind concerned people, and ensure every assignment is completed on time.

- Other RequirementsExcellent knowledge of MS Excel and MS Word.
- Good written and spoken English.
- Shorthand knowledge will be an added advantage.
- Strong communication and interpersonal skills.

- Professional attitude with high integrity and confidentiality.
- Positive, proactive, and solution-oriented mindset.
- Preferred CandidateFemale candidate with 3–7 years of experience as an Executive Assistant, Personal Assistant, or Office Coordinator.
- Graduate in any discipline (MBA or Secretarial qualification preferred).
- Comfortable coordinating with senior management and external clients.
- Residing in or willing to commute to Zirakpur, Panchkula, Chandigarh, Mohali, or nearby areas.
