Purchase & Stores Executive

Job Description:

We are looking for a smart and resourceful Purchase & Stores Executive to manage sample checking, procurement of stores items, and sourcing of machinery parts and tools for our factory. The ideal candidate will be quick to learn, comfortable researching products and suppliers on the internet, and capable of independently tracking down the right parts, tools, and materials at the right price.

Key Responsibilities:

• Check and verify incoming samples (materials, hardware, fasteners, etc.) against required specifications before approval.
• Purchase and maintain stock of stores items such as fasteners, screws, hand tools, hand machines, and consumables.
• Identify and source spare parts required for repair or maintenance of factory machinery.
• Research online to identify products, suppliers, and pricing for tools, machine parts, fasteners, and other factory requirements.
• Compare quotes from multiple vendors and negotiate the best price and delivery terms.
• Coordinate with the factory team to understand what materials, tools, or spare parts are needed and by when.
• Maintain purchase records, stock registers, and basic documentation of items bought and used.
• Follow up with vendors and suppliers to ensure timely delivery of ordered items.
• Flag recurring machine issues or part shortages to management proactively.

Requirements:

• 3-5 years of experience in purchase, procurement, or stores management, preferably in a factory or manufacturing setup.
• Comfortable using the internet to research products, compare suppliers, and find hard-to-source parts.
• Basic familiarity with fasteners, screws, hand tools, hand machines, and general workshop/machinery parts is a strong plus.
• Sharp attention to detail for sample checking and quality verification.
• Good negotiation skills and a cost-conscious approach to purchasing.
• Organized, with the ability to track multiple purchase requirements and follow-ups at once.
• Basic computer skills (Excel/Google Sheets, WhatsApp, email) for maintaining records and coordinating with vendors.
• Willingness to visit local markets and vendors as needed to source items.
