Job Description
ROLE OVERVIEW
The Vehicle Sourcing & Placement Manager is a critical operational role responsible for identifying, procuring, and deploying vehicles as per client requirements. The incumbent will serve as the primary point of contact for all vehicle-related client communication, ensuring timely placement, service reliability, and client satisfaction across all logistics operations.
KEY RESPONSIBILITIES
Vehicle Sourcing
Identify and empanel reliable vehicle vendors, transporters, and fleet owners as per operational needs.
Source vehicles (trucks, trailers, mini-trucks, LCVs, etc.) based on client cargo specifications, route requirements, and timelines.
Negotiate rates, terms, and service agreements with vehicle owners and agencies to ensure cost-effectiveness.
Maintain an updated database of available vehicles, vendors, and capacity by region.
Verify vehicle documents, fitness certificates, insurance, and driver credentials before deployment.
Vehicle Placement & Deployment
Coordinate timely placement of vehicles at client-specified loading points as per delivery schedules.
Allocate vehicles based on load type, volume, weight, and client priorities.
Monitor live vehicle movement and ensure on-time arrival at pickup and delivery locations.
Resolve last-minute vehicle requirements, breakdowns, or delays through alternate arrangements.
Maintain accurate records of vehicle placements, trips, and delivery confirmations.
Client Coordination & Relationship Management
Act as the primary point of contact for clients for all vehicle-related queries, requests, and escalations.
Understand and capture client requirements accurately — vehicle type, quantity, timing, route, and special needs.
Provide proactive updates to clients on vehicle placement status, ETA, and any delays.
Address and resolve client complaints regarding vehicle quality, driver behavior, or service failures promptly.
Build and maintain strong long-term relationships with key clients to ensure retention and satisfaction.
Operations & Reporting
Prepare daily/weekly reports on vehicle availability, utilization, placements, and client feedback.
Coordinate with internal teams (billing, dispatch, compliance) to ensure end-to-end service delivery.
Track fuel, toll, and operational costs for assigned vehicles and assist in budget management.
Ensure compliance with transport regulations, load restrictions, and company SOPs at all times.
Remain available and responsive during critical operations, including non-business hours when required.
REQUIRED SKILLS & COMPETENCIES
Strong knowledge of vehicle types and their suitability for different cargo and routes.
Excellent communication and coordination skills in English and regional language.
Proficiency in MS Office (Excel, Word) and logistics/transport management software.
Ability to work under pressure and manage multiple client accounts simultaneously.
Strong negotiation skills with vendors and transporters.
Problem-solving mindset with the ability to arrange alternatives at short notice.
High level of responsiveness, ownership, and proactiveness — being always reachable and active during operations.
QUALIFICATIONS & EXPERIENCE
Graduate in any discipline (Logistics, Supply Chain, or Business preferred).
2–3 years of experience in vehicle sourcing, fleet operations, or logistics coordination.
Prior experience working with logistics companies, transport agencies, or fleet management firms.
Familiarity with FTL, PTL, and last-mile delivery operations is an advantage.

WORK CONDITIONS
Field-based role with frequent site visits to loading/unloading points.
Must remain contactable and active during peak operational hours, including early mornings and weekends.
Travel may be required as per business needs
