Job Description
- Key Responsibilities
- 1. Front Office & Customer ServiceWelcome clients professionally and create a positive first impression.
- Handle incoming phone calls and direct inquiries to the appropriate team member.
- Register new clients and maintain client records.
- Schedule, reschedule, and confirm appointments.
- Guide clients regarding branch procedures and services.
- 2. Administrative Support
- Maintain daily attendance records of employees.
- Prepare and organize client files and documentation.
- Maintain registers, reports, and branch records.
- Handle filing, photocopying, scanning, and document management.
- Support the Branch Manager with administrative tasks.
- 3. Billing & Cash Management
- Generate bills and receipts.
- Record daily cash and digital payments.
- Prepare daily collection reports.
- Maintain billing records accurately.
- Coordinate with the accounts department for financial documentation.
- 4. Inventory Management
- Monitor stock of treatment consumables and office supplies.
- Maintain inventory registers.
- Inform the Branch Manager about low stock levels.
- Assist in receiving and organizing materials.
- 5. Coordination
- Coordinate appointment schedules between clients, therapists, and dieticians.
- Ensure treatment rooms are prepared before client appointments.
- Follow up with clients regarding appointments and package renewals.
- Assist in organizing promotional events and health camps.
- 6. Housekeeping & Branch Maintenance
- Ensure the reception and office areas remain clean and organized.
- Coordinate with housekeeping staff.
- Report maintenance issues promptly.
- Maintain a professional clinic environment.
- 7. Documentation & ReportingPrepare daily operational reports.
- Maintain client consent forms and treatment documentation.
- Update CRM or software with accurate client information.
- Submit reports to management as required.
- 8. ComplianceMaintain confidentiality of client information.
- Follow company SOPs and operational policies.
- Adhere to hygiene and safety standards.
- Support audits and documentation requirements.
- Skills RequiredGood communication and interpersonal skills.
- Basic computer knowledge (MS Word, Excel, Email).
- Ability to handle multiple tasks efficiently.
- Customer service orientation.
- Good organizational and time management skills.
- Basic accounting and billing knowledge.
