Job Description
*Key Responsibilities:*
Job Intake & Tracking
- Collect incoming jobs and allot tags to each item
- Log all incoming jobs in the Incoming Book, recording: company name, job/grade, number of pieces, condition check for damages, and specifications (sides, colour, etc.)
- If the customer is new, collect and record contact number, GST number, address, customer name, and contact person name (in addition to the job details above)
Outgoing & Rework
- Enter all outgoing jobs with full details in the Outgoing Book
- If rework has been flagged by the shop floor supervisor, ensure its completed, and the item is sent back to the customer
Payments & Invoicing
- Record all payments received in a notebook
- Follow up by phone with customers who haven't made payments, and request them
- Enter data into invoice bills accurately
Planning & Coordination
- Prioritize jobs based on customer urgency/need
- Communicate with the supervisor on what needs to be done
Attendance & Payroll
- Collect attendance details and salary information for payroll processing
Reporting
- Submit a daily report covering the above activities
Preferred Qualifications:
- Prior experience with computers (MS Excel/Word, basic data entry) is preferable
