Job Description
We are seeking a highly organized, professional, and proactive MD Assistant-Front Office Executive to provide administrative and secretarial support to the Managing Director while ensuring efficient front office operations. The ideal candidate should possess excellent communication, coordination, and time-management skills, with the ability to handle confidential information professionally
Key Responsibilities
Executive Support
· Manage the Managing Director's calendar, appointments, and meeting schedules.
· Coordinate internal and external meetings and prepare meeting agendas and minutes.
· Handle correspondence, emails, phone calls, and follow-up communications on behalf of the MD
· Arrange travel, accommodation, and logistics for business trips.
· Prepare reports, presentations, and business documents as required.
Front Office Management
· Welcome and assist visitors, clients, and business associates professionally.
· Manage incoming calls and direct inquiries to the appropriate departments.
· Maintain visitor records and ensure smooth reception operations.
· Coordinate meeting room bookings and hospitality arrangements.
Administrative Duties
· Maintain confidential files, records, and documents.
· Coordinate with internal departments for task completion and follow-ups.
· Support office administration and ensure efficient workflow.
· Manage office correspondence, courier services, and document control.
Required Skills
· Excellent verbal and written communication skills.
· organizational and multitasking abilities.
Proficiency in MS Office (Word, Excel, PowerPoint, Outlook).
· Professional presentation and interpersonal skills.
· Ability to maintain confidentiality and discretion.
· Strong coordination and problem-solving skills.
Qualifications
· Bachelor's degree in Business Administration, Commerce, Arts, or a related field.
· 2-5 years of experience as an Executive Assistant, Secretary, or Front Office Executive.
· Experience supporting senior management will be an added advantage.
