Job Description
1. Appointment & Schedule Management
- Manage OPD appointment schedules.
- Coordinate surgery bookings with hospitals and OT teams.
- Schedule patient follow-ups and review appointments.
- Organize meetings, conferences, and professional engagements.
- Manage the surgeon’s daily, weekly, and monthly calendar.
2. Patient Coordination
- Serve as the primary point of contact for patients and attendants.
- Coordinate admissions and discharge planning.
- Handle appointment confirmations and rescheduling.
- Ensure timely communication regarding investigations and surgery dates.
- Assist in obtaining required patient documents.
3. Surgery Coordination
- Coordinate with hospitals for OT availability.
- Liaise with anesthetists, nursing staff, and OT personnel.
- Ensure implant and instrument availability with medical companies.
- Coordinate surgery schedules with implant vendors.
- Maintain daily surgical case lists.
4. Medical Documentation
- Maintain patient records confidentially.
- Organize investigation reports, imaging, and clinical files.
- Prepare discharge summaries (as instructed).
- Maintain operative records.
- Ensure proper filing of consent forms and documentation.
5. Administrative Support
- Draft professional correspondence and emails.
- Prepare presentations and reports.
- Maintain confidential documents.
- Handle phone calls and official communications.
- Coordinate courier services and document transfers.
6. Hospital & Vendor Coordination
- Coordinate with hospital administration.
- Follow up with implant companies and medical device representatives.
- Ensure timely availability of implants and surgical instruments.
- Maintain contacts of vendors and hospital departments.
7. Financial & Billing Support
- Coordinate consultation billing.
- Track surgery payments and invoices.
- Assist in insurance and reimbursement documentation.
- Maintain records of receipts and pending payments.
