Operation Executive

Key Responsibilities

1. Crew Recruitment & Sourcing
2. Source suitable seafarers through job portals, social media, references, maritime institutes, and recruitment databases.
3. Build and maintain a strong pool of officers and ratings.
4. Conduct initial telephonic screening and candidate assessments.
5. Verify candidate availability and joining schedules.
6. Maintain regular communication with active and prospective seafarers.
7. Database Management
8. Update and maintain crew records in the crewing software/database.
9. Ensure all crew profiles, certificates, and documents are properly recorded.
10. Track crew availability and contract completion dates.
11. Maintain a talent pipeline for urgent and future vessel requirements.
12. Documentation & Verification
13. Verify COC, COP, STCW certificates, passport, CDC, medical fitness certificates, and other statutory documents.
14. Ensure compliance with company, flag state, and client requirements.
15. Coordinate with candidates regarding document renewals and updates.
16. Coordination & Follow-up
17. Coordinate with the Crewing Department for crew deployment planning.
18. Follow up with shortlisted candidates until joining confirmation.
19. Assist in crew mobilization and travel arrangements when required.
20. Coordinate with training institutes and recruitment partners.

Reporting

1. Prepare daily sourcing reports.
2. Track recruitment KPIs and sourcing effectiveness.
3. Generate candidate status reports for management review.
