Job Description

We are seeking a well-presented, organized, and courteous Receptionist & Front Office Executive to manage the reception area, welcome visitors, maintain guest records, and ensure the cleanliness and smooth functioning of the office environment. The ideal candidate should possess excellent communication skills, a professional attitude, and strong administrative abilities.

  • Key Responsibilities:Front Office ManagementGreet and welcome visitors, clients, channel partners, and guests in a professional manner.
  • Manage the reception desk and ensure a positive first impression of the organization.
  • Answer, screen, and direct incoming phone calls.
  • Coordinate visitor appointments and meeting schedules.
  • Guest & Visitor Record ManagementMaintain accurate records of all guest and visitor entries and exits.
  • Ensure visitor registers are updated and properly maintained.
  • Issue visitor passes and inform concerned departments about guest arrivals.
  • Prepare daily and monthly visitor reports when required.
  • Office AdministrationHandle incoming and outgoing couriers, parcels, and mail.
  • Maintain office stationery inventory and place requisitions as needed.
  • Coordinate with vendors and service providers for office-related requirements.
  • Assist HR and Administration departments with routine administrative tasks.
  • Office Cleanliness & MaintenanceMonitor and ensure cleanliness of the reception area, meeting rooms, workstations, and common areas.
  • Coordinate with housekeeping staff to maintain office hygiene standards.
  • Report maintenance issues and follow up for timely resolution.
  • Ensure pantry, washrooms, and common areas remain clean and well-stocked.
  • Coordination & SupportSupport management during meetings, events, and guest visits.
  • Arrange refreshments for visitors and meetings when required.
  • Assist in organizing office events and employee engagement activities.
  • Required QualificationsGraduate in any discipline.
  • 1-3 years of experience in Reception, Front Office, Administration, or Customer Service.
  • Proficiency in MS Office (Word, Excel, Outlook).
  • Excellent communication and interpersonal skills.
  • Professional appearance and positive attitude.
  • Strong organizational and multitasking abilities.
  • Preferred SkillsKnowledge of visitor management systems.
  • Experience in real estate, hospitality, or corporate office environments.
  • Ability to handle multiple tasks efficiently and maintain confidentiality.
