Job Description
Job Title: Front Office Executive Cum Admin
Roles & Responsibilities:
- Welcome clients and visitors professionally and create a positive first impression.
- Manage the front desk and ensure smooth day-to-day reception operations.
- Answer and direct phone calls, emails, and walk-in inquiries to the appropriate department.
- Guide clients regarding the company's services and appointment process.
- Coordinate with the sales team regarding new walk-in clients, inquiries, and follow-ups.
- Maintain accurate client records, databases, and documentation.
- Prepare client agreements and ensure all required details are completed correctly.
- Collect, verify, and organize client documents before forwarding them to the concerned team.
- Maintain confidentiality of client information and company records.
- Handle courier dispatches, deliveries, and document tracking.
- Receive, sort, and distribute incoming mail and correspondence regarding client agreements.
- Monitor office cleanliness and ensure the reception and common areas are neat and presentable.
- Coordinate with housekeeping and vendors for office maintenance and basic administrative requirements.
- Maintain office supplies and stationery inventory and place orders when required.
- Assist HR in filing, scanning, photocopying, and maintaining physical and digital records.
- Prepare daily, weekly, or monthly reports related to client visits, inquiries, and administrative activities.
- Follow up with the Admin and Legal team for agreement documents, scheduling, and agreement completion as instructed.
- Support management with general administrative tasks and office coordination.
- Ensure compliance with company policies and standard operating procedures.
- Handle basic customer concerns professionally and escalate complex issues to the concerned department.
- Maintain visitor registers and employee attendance and movement records.
- Perform any other administrative or operational responsibilities assigned by management.
Required Skills:
- Good verbal and written communication skills.
- Strong interpersonal and client-handling skills.
- Soft-spoken, polite, and professional demeanor.
- Pleasant personality with a positive attitude.
- Basic computer knowledge (MS Office, Email, and Internet).
Working Days: Monday – Saturday
Working Hours: 10:00 AM – 6:30 PM**
Job Location: Kansas Overseas Careers Pvt. Ltd. Kamala Towers, 2nd Floor, Near Rasoolpura Metro Station, Begumpet, Hyderabad.
