Job Description

An Administrative Accountant (or Accounts Administrator) manages the day-to-day financial operations and office administration of a company. They handle bookkeeping, invoice processing, and financial reporting while supporting management with office workflows, vendor coordination, and compliance tasks.


An Office Administrator manages daily clerical and operational tasks to ensure a business runs smoothly. They serve as the central point of contact for staff and clients, handling front-desk duties, scheduling, and bookkeeping while maintaining organizational efficiency.


Core Responsibilities

  • Financial Operations: Manage Accounts Payable (AP) and Accounts Receivable (AR), process payments, and issue invoices.
  • Record Keeping: Maintain accurate financial databases, ledgers, and expense reports.
  • Reconciliation: Perform bank reconciliations and address discrepancies to support month-end and year-end closes.
  • Administrative Duties: Coordinate office supplies, manage correspondence, schedule meetings, and assist with staff onboarding.
  • Compliance: Ensure transactions adhere to financial regulations and internal company policies.


Accountant Key Requirements & Skills

  • Education: A bachelor's degree or certification in Accounting, Finance, or Business Administration is highly preferred.
  • Software Proficiency: Strong working knowledge of Microsoft Excel and accounting software (e.g., Tally, QuickBooks, Navision).
  • Bookkeeping: Solid understanding of basic bookkeeping procedures and debt collection regulations.
  • Soft Skills: Excellent organizational skills, attention to detail, and ability to handle confidential information.
  • Manage obligations to suppliers, customers and third-party vendors
  • Process bank depositsReconcile financial statementsPrepare, send and store invoicesContact clients and send reminders to ensure timely payments
  • Submit tax formsIdentify and address discrepanciesReport on the status of accounts payable and receivable
  • Update internal accounting databases and spreadsheets
  • Proven work experience as an Accounts Administrator or similar role
  • Good knowledge of bookkeeping procedures and debt collection regulations
  • Hands-on experience with accounting software
  • Advanced knowledge of Excel (using financial formulas and creating spreadsheets)
  • Solid data entry skills with an ability to identify numerical errors
  • Good organizational and time-management abilities BSc degree in Finance, Accounting or relevant field


Admin Key Responsibilities

  • Office Operations: Oversee day-to-day office activities, manage correspondence (emails, calls, mail), and order supplies.
  • Scheduling & Logistics: Coordinate meetings, appointments, and travel arrangements to prevent scheduling conflicts.
  • Bookkeeping & Finance: Process invoices, track office expenses, and assist with basic accounting or payroll.
  • Record Keeping: Maintain physical and digital filing systems, databases, and personnel records securely.
  • HR & Onboarding: Assist with new employee onboarding, organizing company events, and internal policy enforcement.
  • Facilities Management: Coordinate with vendors and building maintenance to ensure office equipment and the workspace remain functional.
