Job Description

Key Responsibilities1. Customer Communication

  • Draft and send professional emails to customers — inquiries, follow-ups, order updates, and after-sales support
  • Make outbound calls to customers for inquiry follow-ups, quotation status, and order confirmations
  • Maintain a polite, timely, and accurate communication record with clients
  • Coordinate with the technical/sales team to resolve customer queries

2. Quotation Preparation

  • Prepare accurate price quotations based on client requirements, technical specifications, and approved pricing/costing sheets
  • Customize quotation formats for different clients and projects
  • Track quotation status and follow up with clients for conversion

3. Recruitment Support

  • Screen resumes and shortlist candidates for open positions
  • Schedule and conduct preliminary interviews
  • Coordinate with department heads for technical rounds and final selection
  • Maintain candidate records and update recruitment trackers

4. General Back Office Support

  • Data entry and documentation (orders, invoices, client records)
  • Vendor and supplier coordination as needed
  • Filing, MIS reports, and other administrative tasks assigned by management
  • QualificationsBachelor's degree (Commerce, Business Administration, or Engineering preferred)
  • 1–3 years of experience in a back office/admin/sales support role (engineering or B2B industry preferred)
  • Freshers with strong communication skills may also be considered
  • Skills RequiredStrong written and verbal communication (email etiquette, telephone follow-ups)
  • Proficiency in MS Office (Excel, Word, Outlook)
  • Basic costing/numerical skills for quotation preparation
  • Good interpersonal skills for candidate screening/interviewing
  • Ability to multitask and work independently with minimal supervision
