Job Title: Dispatch Executive (Back Office)
About the Company
We are a fast-growing, direct-to-consumer (D2C) e-commerce brand. We take pride in our end-to-end process—designing, manufacturing/assembling, and packaging our products right here in our back office. Because we handle everything in-house, we are looking for a meticulous Dispatch Executive to manage the final, critical step: ensuring our products move flawlessly from our back office into the hands of our customers.
Job Role OverviewAs a Back Office Dispatch Executive, you will be the bridge between our assembly/packaging team and our logistics partners. Your primary role is to oversee daily order fulfillment, generate shipping documentation, schedule pickups, and track packages to ensure timely and accurate delivery. This is a hands-on back-office role requiring high attention to detail, organization, and a knack for problem-solving.
- Key Activities and ResponsibilitiesOrder Processing & Verification: Monitor the e-commerce dashboard daily to download, verify, and organize incoming customer orders.
- Coordination with Production: Work closely with the internal manufacturing, assembly, and packaging teams to ensure products are ready for dispatch according to the daily order queue.
- Documentation & Labeling: Generate invoices, shipping labels, packing slips, and manifests accurately using our e-commerce platform and shipping aggregators.
- Logistics & Partner Management: Schedule daily pickups with various courier partners and aggregators. Hand over shipments securely and maintain signed manifests.
- Tracking & Problem Solving: Monitor shipped orders, identify transit delays or exceptions, and coordinate with courier customer support to resolve delivery issues proactively.
- Returns Management (RTO): Receive, verify, and log returned orders (Return to Origin). Coordinate with the inventory team to restock or process refurbishments.
- Data Logging & Reporting: Maintain daily, accurate dispatch registers and performance logs in MS Excel/Google Sheets to track shipping costs, delivery timelines, and pending orders.
- Experience & Skill RequirementsMinimum Experience: 1+ years of professional work experience in a dispatch, logistics, or back-office fulfillment role.
- Preferred Experience: Strong preference will be given to candidates who have worked with e-commerce consumer brands (D2C), online retail setups, or in-house manufacturing/assembly environments.
- Technical Savvy: Familiarity with e-commerce platforms (e.g., Shopify, WooCommerce) and shipping aggregators (e.g., Shiprocket, Delhivery, etc.) is highly preferred.
- Software Skills: Practical knowledge of MS Excel or Google Sheets for maintaining logs and data entry.
- Attributes: High attention to detail (to avoid wrong item dispatches), ability to work under tight daily shipping cut-off times, and strong communication skills to coordinate with courier executives.
