Purchase Executive – Electrical & Automation

Key Responsibilities

1. Receive approved material requirements, BOMs and purchase indents from the sales, engineering

and panel-manufacturing teams.

2. Send RFQs to approved vendors and obtain competitive quotations from multiple suppliers.

3. Prepare purchase comparison sheets covering basic price, discount, GST, freight, payment terms,

warranty and delivery time.

4. Negotiate prices, credit terms, freight, delivery schedules and commercial conditions with

vendors.

5. Verify the exact make, model number, technical suffix, quantity and specification before issuing a

purchase order.

6. Prepare and release purchase orders only after obtaining internal approval.

7. Follow up with suppliers from PO acknowledgement until complete material delivery.

8. Purchase automation and electrical products such as PLCs, HMIs, VFDs, servo systems, switchgear,

MCCBs, MCBs, contactors, relays, SMPS, cables, terminals, lugs, panel enclosures and other

accessories.

9. Develop new vendors and alternative sources without compromising approved makes or technical

specifications.

10. Coordinate with sales, engineering, stores, panel manufacturing, logistics and accounts teams.

11. Monitor urgent and shortage materials to prevent delays in panel production or customer

dispatch.

12. Maintain vendor master data, purchase registers, open-PO trackers, delivery schedules and

pending-material reports.

13. Coordinate material returns, shortages, incorrect supplies, warranty claims and replacements

with vendors.

14. Check supplier invoices against approved purchase orders before submission to accounts.

15. Maintain confidentiality of vendor prices, discounts and commercial terms.

Candidate Requirements

16. 2-5 years of experience in purchase or procurement, preferably in industrial automation,

electrical panels, machine manufacturing, switchgear or electrical-project companies.

17. Diploma/BE in Electrical or Electronics is preferred. Graduates with strong electrical-purchase

experience can also apply.

18. Ability to understand electrical BOMs, product specifications and detailed model numbers.

19. Good knowledge of MS Excel, quotation comparison sheets, purchase orders and purchase

trackers.

20. Experience with Tally, ERP or another purchase-management system is preferred.

21. Strong vendor-development, negotiation and material-follow-up skills.

22. Good attention to detail and commercial accuracy.

23. Working knowledge of Gujarati, Hindi and basic business English.

24. Ability to commute regularly to Vatva GIDC.

25. Two-wheeler and driving licence are preferred for occasional local vendor visits.

53. Are you comfortable negotiating price, credit period, freight and delivery terms with vendors?

54. Can you work from Vatva GIDC from 10:00 AM to 7:00 PM, Monday to Saturday?

How to Evaluate the Responses

57. Strong signal: At least two years of relevant industrial or electrical purchasing experience.

58. Strong signal: Independently managed RFQ, comparison, negotiation, PO and delivery follow-

up.

59. Strong signal: Understands why complete model-number and suffix verification matters.

60. Strong signal: Can explain an actual vendor-negotiation or material-shortage situation clearly.

61. Concern: Experience is limited to data entry, retail purchasing, accounting or civil materials with

no electrical exposure.

62. Concern: Candidate cannot work at the stated location and schedule or has an unrealistic joining

timeline.

5. Shortlisting Rules

Must-Have

63. Relevant industrial, electrical, automation, machine-building or panel-component purchase

experience.

64. Basic understanding of BOMs, specifications and exact product model numbers.

68. Direct experience purchasing PLC, HMI, VFD, servo, switchgear or control-panel materials.

69. Diploma or degree in Electrical/Electronics.

70. Experience with Tally, ERP or a structured purchase-management system.

71. Existing local vendor knowledge in Ahmedabad.

72. Immediate availability or notice period within 30 days.
