Role Overview

The Export Operations & Logistics Specialist will own three interconnected areas: warehouse stock management, export documentation and customs clearance, and freight coordination. You will work closely with internal ops teams and external partners (CHA, freight forwarders, FedEx) to ensure every shipment goes out correctly, on time, and without compliance risk.

ERP training will be provided — all operations will run through our ERP system (ERPNext), and you'll be expected to manage all shipping and stock workflows within it.

Key Responsibilities

🔹 Warehouse & Inventory Management

• Actively manage stock levels, inbound receipts, and inventory accuracy within the ERP.
• Coordinate with the warehouse team to ensure products are correctly stored, picked, and ready for export dispatch.
• Maintain stock records and flag discrepancies or shortages that could affect order fulfillment.

🔹 Packing & Freight Efficiency

• Ensure shipments are packed efficiently to minimize dimensional weight and reduce freight costs without compromising product safety.
• Training on packing standards will be provided — you'll be expected to apply and enforce these standards operationally.
• Validate shipment readiness (correct items, quantities, packaging) before dispatch.

🔹 Export Documentation (CSB-V & Courier Exports)

• Prepare and process CSB-V (Courier Shipping Bill) for all eligible export shipments.
• Create and verify commercial invoices, packing lists, KYC/IEC details, courier declarations, and all supporting export documents.
• Ensure HS codes, product descriptions, declared values, and weights are accurate and consistent across all paperwork.
• Maintain clean digital records for audits and re-checks.

🔹 Freight Forwarding (In-House + External)

• Execute freight forwarding tasks directly for standard courier/FedEx shipments — label generation, airway bills, manifests, and pickup coordination.
• Coordinate with external freight forwarders for larger or non-courier shipments, ensuring documentation handover is clean and timelines are met.
• Track shipments proactively and resolve holds, exceptions, or delays before they escalate.

🔹 Customs Clearance & CHA Coordination

• Coordinate with the CHA (Customs House Agent) for smooth and timely customs clearance.
• Share documents on time, respond to customs queries, and support examination or assessment requirements.
• Identify and flag potential clearance risks early and drive resolution.
• Ensure all exports remain compliant with applicable regulations and courier rules.

🔹 Order Dispatch & Fulfillment

• Ensure every export order is dispatched accurately — correct product, correct documentation, correct destination.
• Maintain dispatch SLAs and prevent rework due to paperwork or packing errors.
• Provide regular shipment status updates to internal stakeholders and flag risks early.
• Dispatch timelines may require evening or night availability — this role operates on an ownership model, not fixed hours. Flexibility is expected and respected in return.

What We're Looking For

Must-Haves

• 3–6+ years of hands-on experience in export shipping and logistics operations.
• Strong practical knowledge of CSB-V documentation and courier export compliance.
• Experience coordinating customs clearance with a CHA.
• Solid understanding of export paperwork: commercial invoices, packing lists, HS codes, KYC/IEC, courier declarations.
• Experience managing warehouse stock or inventory — not just coordination, but active ownership.
• Strong written and spoken English communication skills.
• High attention to detail, process discipline, and ownership mindset.

Preferred / Bonus

• E-commerce or D2C export background (strongly preferred).
• Experience acting as or working alongside a freight forwarder.
• Familiarity with multi-SKU export shipments and marketplace order flows.
• GST filing knowledge is an added advantage — not mandatory, but welcomed.
• Comfortable working in ERP systems.
