Job Description

An Office Administrator acts as the organizational backbone of a company, ensuring that day-to-day operations run efficiently so that other staff can focus on their core tasks. The role is multifaceted, ranging from basic clerical support to high-level coordination and facility management.

  • Core Responsibilities: Daily Operations Management: Overseeing the general functioning of the office, including managing mail, answering phones, and greeting visitors.
  • Scheduling & Logistics: Coordinating calendars, booking meeting rooms, and arranging travel for executives.
  • Facility & Vendor Management: Maintaining office supplies, coordinating with vendors (IT, cleaning, maintenance), and ensuring a clean, safe workspace.
  • Documentation & Record Keeping: Managing both digital and physical filing systems, drafting memos, and maintaining personnel or client databases.
  • Financial Support: Assisting with basic bookkeeping, including processing invoices, tracking expenses, and supporting budget preparation.
  • HR Assistance: Supporting recruitment efforts, managing new-employee onboarding, and tracking attendance and leave.
  • Essential Skills & Qualifications: Technical Proficiency: Expert knowledge of Microsoft Office Suite (Excel, Word, Outlook) and often Google Workspace or CRM software.
  • Soft Skills: Strong verbal and written communication, time management, and the ability to multitask in fast-paced environments.
  • Problem-Solving: Ability to handle unexpected issues, such as equipment failure or scheduling conflicts.

Education: Usually requires at least a high school diploma, though many employers prefer a Bachelor’s degree
