Job Description
- Key ResponsibilitiesGreet and welcome visitors, clients, and guests.
- Answer, screen, and direct incoming phone calls.
- Manage incoming and outgoing mail, emails, and deliveries.
- Schedule appointments and maintain calendars.
- Maintain visitor logs and issue visitor passes when required.
- Provide information and assistance to customers and staff.
- Keep the reception area clean, organized, and presentable.
- Perform administrative tasks such as filing, data entry, photocopying, and document preparation.
- Coordinate meeting room bookings and office supplies.
- Handle inquiries and resolve basic customer concerns professionally.
- Qualifications and SkillsHigh school diploma or equivalent; additional administrative training is an advantage.
- Proven experience in a receptionist, administrative, or customer service role preferred.
- Excellent verbal and written communication skills.
- Strong interpersonal and customer service abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Strong organizational and multitasking skills.
- Professional appearance and positive attitude.
- Ability to maintain confidentiality and handle sensitive information.
- Working ConditionsTypically works in an office, healthcare facility, hotel, school, or corporate environment.
- May require sitting for extended periods and interacting with a high volume of visitors and calls.
