Job Description
Key Responsibilities
Reception & Guest Management
Welcome members, patients, guests, and visitors warmly.
- Manage front desk operations and ensure a professional atmosphere.
- Guide visitors regarding services, programs, consultations, and appointments.
- Handle walk-in inquiries and provide accurate information about Classia programs.
Appointment & Scheduling Management
Schedule, reschedule, and confirm appointments for doctors, dietitians, and wellness consultants.
- Coordinate consultation schedules and room allocations.
- Maintain appointment calendars and ensure smooth patient flow.
Member Registration & Documentation
Register new members and patients.
- Collect and verify required forms and documents.
- Maintain accurate member records in the system.
- Assist in onboarding members into various Classia programs.
Phone, Email & WhatsApp Communication
Answer incoming calls professionally.
- Respond to emails and WhatsApp inquiries.
- Route calls and messages to the appropriate departments.
- Follow up with leads, members, and patients regarding appointments and services.
Billing & Payment Support
Generate invoices and receipts.
- Assist in membership fee collection and payment tracking.
- Coordinate with accounts for billing-related matters.
Customer Experience & Hospitality
Ensure a premium hospitality experience for all visitors.
- Assist members during their stay at the center.
- Address customer concerns promptly and professionally.
- Maintain a welcoming and organized reception area.
Administrative Support
Maintain daily visitor and appointment registers.
- Coordinate with doctors, nurses, dietitians, and operations staff.
- Manage office supplies and front-office inventory.
- Prepare daily and monthly front-office reports.
