Position SummaryThe Documentation Scanner Executive is responsible for handling, scanning, digitizing, indexing, and maintaining physical and electronic records with high accuracy and confidentiality. The role involves ensuring that all documents are properly processed, archived, and uploaded into the designated systems as per organizational standards and client requirements.
The executive will play a critical role in maintaining document integrity, supporting operational workflows, and ensuring smooth digital record management.
- Key ResponsibilitiesDocument Handling & PreparationCollect and receive documents from designated departments or clients.
- Verify document completeness before scanning.
- Arrange, sort, and prepare documents for digitization.
- Remove staples, clips, bindings, and ensure documents are scanning-ready.
- Handle sensitive and confidential documents with utmost care.
- Scanning & DigitizationOperate high-speed scanners and related equipment efficiently.
- Scan documents in accordance with prescribed quality standards.
- Ensure proper image clarity, alignment, readability, and file formatting.
- Re-scan unclear or damaged documents whenever necessary.
- Upload scanned files into the designated software/system.
- Indexing & Data ManagementAccurately name, classify, and index scanned documents.
- Maintain systematic digital filing structures.
- Ensure documents are properly tagged for easy retrieval.
- Perform basic data entry related to document processing.
- Quality ControlConduct regular quality checks on scanned documents.
- Ensure no pages are missing, duplicated, or improperly scanned.
- Maintain accuracy and compliance with company SOPs.
- Report discrepancies or damaged records to supervisors immediately.
- Record MaintenanceMaintain tracking logs for scanned and processed documents.
- Ensure proper storage and return of physical documents.
- Support archival and retrieval activities when required.
- Equipment MaintenanceMaintain cleanliness and basic upkeep of scanning equipment.
- Report technical issues, breakdowns, or maintenance requirements promptly.
- Compliance & ConfidentialityAdhere strictly to company confidentiality policies.
- Ensure data privacy and secure handling of official records.
- Follow all operational, safety, and compliance procedures.

- Educational QualificationMinimum PUC / 12th Pass.

- Experience Requirements0–2 years of experience in document scanning, office administration, backend operations, or records management preferred.
- Freshers with good computer knowledge may also apply.
- Technical RequirementsBasic knowledge of scanners, printers, and office equipment.
- Familiarity with MS Office applications.
- Basic understanding of digital file handling and document management systems.
