Job Description
Position OverviewWe are seeking a dynamic, highly organized, and adaptable Event & Property Coordinator to manage our unique venue and deliver flawless event experiences. This isn't your typical 9-to-5 desk job. In this role, you will wear multiple hats: part hospitality guru, part property manager, and part artist liaison.
The ideal candidate thrives in a fast-paced environment, possesses sharp problem-solving skills, and can seamlessly pivot from coordinating a high-profile artist's arrival to ensuring the property's facilities are pristine. Because our events come alive when the rest of the world rests, a high degree of scheduling flexibility is a must for this role.
- Key Responsibilities
1. Event & Artist CoordinationArtist Relations: Serve as the primary point of contact for performing artists, speakers, and VIPs. Manage riders, travel logistics, hospitality needs, and backstage dressing room setups.
- Vendor Management: Source, negotiate with, and supervise event vendors (catering, AV, security, decor).
- On-Site Execution: Oversee event load-in, execution, and strike. Troubleshoot real-time issues calmly and efficiently.
- Timeline Management: Create and distribute detailed run-of-show documents to all stakeholders.
2. Property & Venue Management Facility Oversight: Ensure the venue, grounds, and event spaces are clean, safe, fully functional, and visually stunning ahead of every event.
- Maintenance & Inventory: Coordinate routine property maintenance, track event asset inventory, and manage relationships with property contractors (handymen, landscapers, cleaners).
- Compliance: Ensure all events and property uses adhere to local safety regulations, permits, and noise ordinances.
3. Guest Experience & Communication
- Guest Relations: Act as the face of the venue, ensuring attendees, clients, and guests receive exceptional service.
- Inquiry Management: Respond to venue booking inquiries, conduct property tours for prospective clients, and manage booking contracts.
- Feedback Loops: Collect guest and client feedback post-event to continuously elevate the venue experience.
- Qualifications & SkillsExperience: 2–4 years of experience in event planning, hospitality, property management, or a blended role.
- Flexibility: Absolute willingness to work a non-traditional schedule, including frequent late nights, weekends, and holidays based on the event calendar.
- Communication: Exceptional interpersonal and communication skills; ability to negotiate firmly but politely with vendors and interface professionally with high-profile talent.
- Problem-Solving: A "find a way" attitude. You can think on your feet when plans change unexpectedly.
- Physical Stamina: Ability to stand/walk for extended periods during events and lift up to 30 lbs when setting up spaces.
- Tools: Proficiency with event management software, scheduling tools, and basic spreadsheet tracking.
