Remuneration: Salary competitive based on experience + fixed food allowance / travel bonus (for customer site visits).

Job PurposeThe Junior Administrator for Spare Parts Management will be responsible for handling the end-to-end lifecycle of spare parts administration. This includes managing customer inquiries, processing quotes and orders in the ERP system, managing inventory stock, and coordinating with cross-functional teams to ensure timely delivery and high customer satisfaction.

  • Key Responsibilities & Tasks1. Order & Quote ManagementCreate spare parts quotations, order confirmations, and Purchase Orders (PO) within the ERP system.
  • Verify order details meticulously, including part numbers, quantities, pricing, Incoterms, delivery schedules, and payment terms.
  • Handle customer inquiries promptly, process orders, and ensure a seamless service delivery experience.
  • Monitor open Order Confirmations (OCs) and POs regularly to prevent backlogs.
  • 2. Supply Chain & Inventory CoordinationTrack and monitor lead times and delivery timelines consistently.
  • Coordinate closely with the procurement team to follow up with suppliers on delivery schedules.
  • Collaborate with the Import/Export team to ensure smooth order fulfillment, customs compliance, and timely dispatch.
  • Support inventory stock management, identifying obsolete parts and suggesting technical alternatives or solutions when items are unavailable.
  • 3. Issue Resolution & Quality ControlManage master data updates and price maintenance within the ERP.
  • Handle customer rejections, returns, parts replacements, and warranty claims.
  • Coordinate with internal teams to manage quality rejections and inventory shortages.
  • 4. Stakeholder Communication & ReportingMaintain proactive cross-departmental coordination with Sales, Technical, Procurement, and Logistics teams.
  • Communicating order delays, stock-outs, or supply changes to the sales team promptly.
  • Generate and present regular operational and inventory reports to management.
  • Job Requirements & QualificationsEducation & QualificationsBachelor’s Degree in Supply Chain Management, Logistics, Operations Management, or B.E./B.Tech (Mechanical / Electrical).
  • Diploma Holders (Mechanical / Industrial / Logistics) will also be considered provided they have strong, relevant domain experience.
  • Technical & Domain SkillsExperience: 2–4 years of proven experience in customer service, spare parts management, or supply chain operations.
  • ERP Knowledge: Hands-on experience with ERP systems is required (experience with Proalpha or SAP is highly preferred).
  • Software: Proficiency in MS Office, with strong advanced skills in MS Excel for data tracking.
  • Industry Background: Prior experience working within a German, US, or UK MNC environment is highly advantageous.
  • Soft SkillsStrong communication and interpersonal skills, with absolute fluency in English.
  • Excellent multitasking capabilities and the resilience to handle pressure in a fast-paced environment.
  • A collaborative mindset with a proven ability to work as an effective team player
