Job Description
Job Role - Procurement & Purchase
Department - PRCR
Work Location - HSR
Working Days - 6 Days
📋 Key Responsibilities
💻 IT & Technology Procurement
Raise and process procurement requests for laptops, desktops, servers, peripherals, SIM cards, and software licenses.
Coordinate with the IT team to understand asset requirements for new joinees, office setups, and replacements.
Maintain asset records including Asset ID, Serial Number, allocation details, and warranty tracking.
Follow up with vendors for timely delivery, invoicing, and AMC renewals for IT equipment.
🖊️ Office Supplies & Stationery
Ensure timely procurement of day-to-day office supplies — stationery, printing materials, consumables, etc.
Monitor stock levels and place orders in advance to avoid shortages.
Maintain a monthly inventory tracker for all office supplies across locations.
🧹 Facility & Housekeeping
Procure housekeeping materials including cleaning chemicals, equipment, consumables, and hygiene products.
Coordinate with the facility/admin team to understand requirements and ensure uninterrupted supply.
Track usage and plan replenishment based on consumption patterns at each location.
🪑 Furniture & Interior / Fitout Procurement
Support procurement of office furniture — chairs, desks, cabinets, workstations — for new setups or replacements.
Coordinate with vendors and interior teams for fitout material procurement during office expansions or renovations.
Obtain multiple quotations, compare pricing, and recommend the most cost-effective option.
📄 Vendor Contracts & AMC Management
Assist in onboarding new vendors — collecting documents, agreements, and compliance paperwork.
Track and maintain a contract calendar for AMC renewals — security, housekeeping, HVAC, IT equipment, etc.
Coordinate with vendors for service visits, complaint resolution, and performance tracking.
Ensure all vendor agreements are documented and renewed on time.
☕ Food, Beverages & Pantry Management
Manage pantry supplies including tea, coffee, biscuits, and daily consumables for all office locations.
Coordinate food and beverage arrangements for internal events, client visits, and celebrations.
Maintain vendor relationships for catering and pantry restocking.
📊 Documentation & Reporting
Prepare and maintain purchase orders, delivery challans, invoices, and payment records.
Update and share weekly/monthly procurement MIS with the reporting manager.
Ensure all procurement is within approved budgets and obtain necessary approvals before placing orders.
Coordinate with the Finance/Accounts team for timely payment processing to vendors.
