Job Description

Role Purpose

Coordinate the day-to-day administrative backbone of the showroom so that people, facilities, payments, records and operating supplies are ready when needed. The role requires ownership, organisation, follow-through and a practical approach to solving routine store issues.

Key Responsibilities

Store Operations and Facilities

  • Ensure availability of stationery, gift-packing materials, branding items, appliances and other consumables required for smooth daily operations.
  • Coordinate repairs and upkeep for civil work, electrical points, UPS, printers, network points, electronics and other store equipment; track each request from start through completion.
  • Monitor facility work and vendor activity, document progress, and report delays or issues to the Store Manager.
  • Track due dates and coordinate timely payment of approved utility and operational bills.

People, Customer and Commercial Administration

  • Maintain accurate staff attendance records and support tracking of staff incentives as per the approved programme.
  • Maintain customer-entry and exit records and support a professional customer experience in the showroom.
  • Support billing, payment collection, approved vendor payments and salary-payment preparation as assigned.
  • Assist with customer conversations and preliminary negotiation when required, within approved limits.
  • Maintain orderly records for invoices, service requests, payment confirmations and operational reports.

Coordination and Reporting

  • Create a simple daily view of open tasks, responsible persons, progress, completion status and pending blockers.
  • Coordinate with the Store Manager, sales team, field executive, vendors and service providers to close operational requirements.
  • Escalate urgent facility, payment, security or customer-service issues without delay.
  • Recommend practical improvements that reduce interruptions and improve showroom readiness.

Skills and Qualifications

  • Experience in retail administration, office administration, store operations or a similar coordination role is preferred.
  • Strong organisation, follow-up and record-keeping habits; able to manage several routine tasks without losing detail.
  • Basic proficiency with computers, spreadsheets, billing/payment systems and online banking workflows.
  • Clear, polite communication in Kannada, Hindi and/or English; ability to deal constructively with vendors and customers.
  • Hands-on troubleshooting mindset and willingness to coordinate across facilities, finance and customer-service needs.

What Success Looks Like

  • The showroom has the supplies, services and records it needs each day.
  • Bills, staff records, payments and operational trackers are accurate and up to date.
  • Repair and vendor issues are followed through to completion with clear visibility.
  • The Store Manager has reliable, timely operational information.

Work Standards

  • Process payments and access financial systems only under assigned authority and approval controls.
  • Protect employee, customer and commercial data.
  • Keep all shared work areas, records and equipment organised and presentable.
