Commercial Assistant (Specialist Purchasing)-India

Job Summary: The Purchase Associate plays a critical role in supporting the Sourcing Team by facilitating seamless collaboration across various internal departments, including Stores, Finance, Operations and Quality. Externally, the role requires effective coordination with Suppliers, Customs Clearing Agents, and Transporters to ensure smooth and efficient purchase processes.
Key Job Responsibilities:
Internal Collaboration – Work closely with internal teams, including Stores, Finance, and Quality, to ensure accurate and timely recording of material receipts and efficient processing of invoices for prompt payment.
Order placement – Ensure the timely ordering of essential materials, including Industrial Gases, Vegetables & Groceries, and Stationery, to support uninterrupted operations.
Supplier Coordination – Work closely with suppliers to ensure a timely and efficient supply of materials to meet production schedules and maintain uninterrupted operations.
Transport Management – Collaborate with transporters and logistics partners to coordinate the movement of goods, ensuring on-time delivery and compliance with regulations. Customs & Compliance – Liaise with customs clearing agents to ensure smooth and compliant clearance of goods, managing necessary documentation and approvals.
Ensure the timely issuance and daily monitoring of e-way bill documents to comply with transportation and regulatory requirements.
Inventory & Order Management – Assist in monitoring stock levels, placing orders, and tracking the status of deliveries to maintain optimal inventory levels.
Record Maintenance – Accurately maintain and update procurement records, including purchase orders, supplier contracts and invoices. Ensure all documentation is organized, easily accessible, and compliant with company policies and regulatory requirements.
Service support – Organize regular visits from service engineers to ensure the maintenance and servicing of all office equipment.
Required Skills: Required communication and collaboration skills, both internally and externally. Basic understanding of procurement, logistics, and supply chain processes. Knowledge of customs regulations and international shipping procedures is a plus. Ability to manage tasks in a fast-paced environment. Attention to detail and strong problem-solving skills.
