Facility Manager / Assistant Facility Manager
Job Purpose
To manage and supervise all soft service operations within the facility, ensuring a clean, safe, hygienic, and employee‑friendly workplace while complying with company standards, statutory requirements, and service level agreements (SLAs).
Key Responsibilities
1. Soft Services Operations
Oversee daily operations of housekeeping, cleaning, pantry services, front office, pest control, waste management, and landscaping (if applicable).
Ensure high standards of cleanliness, hygiene, and aesthetics across the facility.
Monitor service quality and compliance with agreed SLAs.
2. Vendor & Manpower Management
Supervise outsourced staff and vendor teams.
Ensure correct deployment of manpower as per rostering and workload.
Coordinate with vendors for training, performance improvement, and issue resolution.
Verify attendance, grooming, discipline, and productivity of staff.
3. Hygiene, Safety & Compliance
Ensure adherence to HSE (Health, Safety & Environment) standards.
Conduct regular inspections and audits for cleanliness and hygiene.
Ensure proper handling and disposal of waste as per regulations.
Support statutory compliance related to soft services.
4. Client & Stakeholder Coordination
Act as the single point of contact for employees and internal stakeholders for soft service‑related issues.
Handle service requests, complaints, and escalations professionally.
Coordinate with other facility teams (hard services, security, administration).
5. Reporting & Documentation
Maintain daily MIS reports, checklists, and inspection logs.
Track consumables usage and inventory (cleaning chemicals, pantry items).
Prepare monthly performance reports and cost summaries.
6. Cost & Resource Control
Monitor consumption of materials to avoid wastage.
Support budget control and cost‑saving initiatives.
Ensure optimal utilization of resources.
7. Continuous Improvement
Suggest improvements in cleaning methods, materials, and processes.
Implement best practices in soft services management.
Support audits, certifications, and compliance initiatives.
Key Skills & Competencies
Knowledge of soft services operations and standards
Vendor and manpower supervision
Strong communication and interpersonal skills
Problem‑solving and complaint handling
Basic computer skills (MS Excel, email, reporting)
Attention to detail and time management
Educational Qualification
Any Graduate
Experience Required
2–5 years of experience in soft services or facility management
Experience in corporate offices, IT parks, or commercial buildings preferred
