Reports To: Director-Ops & Engineering
Position Location: Banara, Bhubaneswar, Odisha, India
Position Summary
Executive, University Reception, shall conduct all activities of visitors’ reception with utmost courtesy & a strong intent of selfless service to every visitor without discretion. The receiving of any & all walk ins to the University should shall create a first, unforgettable, awesome impression of the University. The Executive shall be be the core Centre of information on daily activities in the University, along with basic administrative works.
Essential Duties and Responsibilities:
· Serve as the main contact for the campus, providing high-quality visitor service and professional communication.
· Provide a professional “front-of-house” response to all telephone, info email and in-person enquiries from visitors, students, parents and patrons.
· Manage the Epabx/ Central telephone operation.
· Supervise and manage drinking water, beverages and other pantry services for visitors, admin & Ops teams.
· Provide basic info of the University, it’s specialty, strengths & act almost like a pre sales team of students’ attraction & retention.
· From there on, direct the prospective students to the correct department for conversion into admission.
· Manage the prospective students’ registry along with their feedback.
· Manage mail and couriers, maintain office supplies, organize catering for meetings.
· Manage/ Assist File management, book keeping and record keeping systems.
· Learn all emergency procedures like First aid & Emergency Exit routes.
· Should coordinate with security supervisor/ Officer and ensure smooth entry of visitor and secured exit checks.
· Should keep aware of security staff managing fire detection, alarm & extinguisher systems.
· Act as the central Helpdesk for supervisors/individual teams to follow up on requested tasks.
· Follow up on tickets via physical registers/software tools for all maintenance needs, including IT, Plumbing, Electricity, and Housekeeping etc.
· Office management inclusive of stationary, id cards, visiting cards etc & printing them in time.
· Input data, Type letters to authorized HoDs
· Coordinate internal travel and itineraries for staff if at all.
· Assist with organizing events.
· inbound desk calls, assist Ops team for outbound calls.
Key Criteria
· Should fluently converse in English, Hindi and Oriya. Bengali/ Telugu would be an added advantage.
· Should be very friendly & amicable to all visitors & staff.
· Should be very punctual.
· Computer literate in all Microsoft office applications (e.g. Word, Excel, PowerPoint).
· Utilize AI-assisted productivity tools to draft professional emails, generate documents (docx/excel), and compile daily activity reports
· Excellent oral and written communication skills and strong inter-personal skills.
· Experience of working in an academic institution is an added advantage.
· Flexible ‘can do’ attitude.
· Ability to multi-task and be proactive.
· Should have high patience levels to hear out both Students, Parents, visitors, vendors & staff.
· Ability to remain calm under pressure from parents & employees and complete all tasks to a high standard.
· Have soft skills when handling janitorial and security teams.
· Must be a keen learner.
· Should be highly meticulous & have penchant for minute micro details of his/her work.
Educational Back Ground
The person should be a graduate/ BBA/ Graduation in Hospitality/ in any subject.
Age & Experience
Any candidate who meets the above key criteria with 3-5 years’ work experience shall be considered. Experience in front office /admin/ facilities and/or travel desk operations in a University/ large academic institutions is preferable.
