Job Description

Accountant & Admin Executive – Job Description


We are looking for a reliable and detail-oriented Accountant & Admin Executive to manage day-to-day accounting, billing verification, salary processing, vendor coordination, and administrative operations. The ideal candidate should be organized, trustworthy, and capable of handling financial records accurately while coordinating with internal teams and external agencies.


Key Responsibilities


Accounting & Financial Management


  • Maintain daily accounts, vouchers, expense records, and ledgers.
  • Verify all bills, invoices, purchase entries, and payment records.
  • Ensure customer billing, refunds, credits, and settlements are properly managed.
  • Track receivables and payables and follow up where necessary.
  • Maintain accurate records of cash flow and operational expenses.
  • Coordinate with CA/accounting firms for GST, TDS, and tax filings.


Salary & Payroll Management


  • Prepare and calculate monthly salaries, incentives, overtime, and deductions.
  • Maintain attendance, leave records, and payroll documentation.
  • Ensure salaries are processed accurately and on time.


Tax & Compliance Coordination


  • Ensure GST, TDS, PF, ESI, and other statutory compliances are completed on time.
  • Coordinate with various departments to collect required financial and compliance documents.
  • Maintain organized records for audits and inspections.


Billing & Refund Verification


  • Cross-check bills, vendor invoices, POS reports, and refund entries.
  • Ensure there are no discrepancies in customer accounts or payment records.
  • Investigate and report any billing mismatches or suspicious transactions.


Administrative Responsibilities


  • Maintain office records, agreements, licenses, and operational documents.
  • Coordinate with vendors, suppliers, and service providers.
  • Support management in preparing reports, MIS summaries, and operational tracking.
  • Ensure smooth coordination between accounts, operations, and management teams.


Requirements


  • Bachelor’s degree in Commerce, Accounting, Finance, or related field.
  • Experience in accounting/admin roles preferred.
  • Knowledge of GST, TDS, payroll, and basic compliance procedures.
  • Familiarity with accounting software, Excel, POS systems, and billing software.
  • Strong attention to detail and organizational skills.
  • Honest, dependable, and able to handle confidential information responsibly.


Preferred Qualities


  • Ability to multitask and work independently.
  • Good communication and coordination skills.
  • Experience in restaurant, café, retail, cloud kitchen, or hospitality operations is a plus.
