Apprentice Admin

Executive

 

                                          

POSITION SUMMARY:

 

The Admin Executive is responsible for overseeing the day-to-day operations of facility infrastructure, ensuring a safe, clean, and efficient working environment. This role involves managing vendors, coordinating maintenance activities, and supporting administrative functions related to facility upkeep.

 

As an Apprentice AE, you will:

  • Collaborate with Corporate Admin, Location heads, service providers and vendors, to ensure the day to day operations of Admin and Infra are compliance with the apprenticeship program for Herbalife India.
  • Serve as a point of contact for location employees and corporate Admin team in Bangalore:
  • Overseeing the day to day operations of the facility
  • Coordination with Corporate Admin and Service Providers
  • Tracking and maintaining compliance obligations
  • Coordination for maintenance activities
  • Vendor management

 

DETAILED RESPONSIBILITIES/DUTIES:      

 

  • In this role the Apprentice will be responsible for Facility Operations:
  • Monitor and manage daily facility operations including housekeeping, security, pantry, and front office.
  • Ensure all services are delivered as per agreed SLAs and KPIs.
  • Engaging with LL for Electricity, rental bills & CAM
  • Inspection of all critical equipment’s & reporting any breakdown.
  • Maintenance & Repairs:
  • Coordinate preventive and corrective maintenance of electrical, HVAC, plumbing, and other systems.
  • Liaise with vendors and contractors for timely resolution of issues.
  • Health, Safety & Compliance:
  • Ensure adherence to safety protocols and statutory compliance (fire safety, waste management, etc.).
  • Administrative Support:
  • Maintain records of facility expenses, inventory, and asset management.
  • Prepare daily, weekly & Monthly reports
  • Communicate to supervisor all incidents’ issues & pending problems
  • Managing HK & stationary materials by keeping track of usage
  • Indent monthly requirements of HK, Pantry & Stationary items
  • Muster all the housekeeping staff of the shift before deployment & communicate the priorities of the day
  • Stakeholder Coordination:

Act as a point of contact for employees regarding facility-related concerns

 

EDUCATION/QUALIFICATIONS:            

 

The following are the minimum qualifications which an individual needs in order to successfully perform the duties and responsibilities of this position.

 

  • Graduate, Basic Communication skills
  • High level of integrity
  • Computer literate; preferred knowledge of using MS office and emails
  • Interpersonal skills 
  • Good written & verbal communication skills - fluency in English both written and verbal (Additional language of an advantage)
  • Willing to learn and prioritize workload
  • Ability to adapt and learn progressively
  • Good team player
