Job Description

About the Role

We are looking for a hands-on and detail-oriented HR & Admin Manager to join our team at our Chennai office. This role is built for an HR professional with solid experience in the IT and/or AEC (Architecture, Engineering & Construction) industry who can seamlessly manage the complete employee lifecycle — from onboarding to exit — alongside day-to-day HR operations and office administration. You will be the primary HR and Admin touchpoint for employees at the Chennai location, ensuring compliance, operational efficiency, and a well-organized workplace environment.

 

Key Responsibilities

Employee Lifecycle Management

•      Own the complete employee lifecycle — from pre-joining formalities and onboarding through confirmation, transfers, promotions, and exit.

•      Manage structured onboarding for all new joiners: offer letter issuance, documentation, background verification coordination, induction scheduling, system/ID access setup, and day-one readiness.

•      Conduct onboarding orientation sessions to ensure new employees understand company policies, culture, and processes from the very first day.

•      Handle end-to-end exit formalities including resignation acceptance, exit interviews, clearance coordination, full & final settlement inputs, relieving letters, and experience certificates.

•      Maintain and track employee confirmation timelines, probation reviews, and ensure timely closure with respective managers.

•      Manage all employee lifecycle documentation — personal files, HRMS records, and correspondence — with accuracy and confidentiality.

Attendance & Leave Management

•      Manage end-to-end attendance tracking via HRMS — monitor daily exceptions, regularizations, and discrepancies proactively.

•      Administer leave policies including annual leave, sick leave, maternity/paternity, and special leaves in line with company policy and statutory requirements.

•      Prepare and share regular MIS reports on attendance and leave utilization for management review.

•      Coordinate monthly attendance and LOP data with the payroll team to ensure accurate and timely salary processing.

HR Operations & Compliance

•      Handle day-to-day employee queries related to HR policies, benefits, salary, and processes promptly and professionally.

•      Prepare and issue all HR correspondence — appointment letters, confirmation letters, transfer letters, increment letters, NOCs, and experience certificates.

•      Manage statutory compliance for the Chennai location — PF, ESI, PT enrollments, monthly filings, and maintenance of compliance registers under applicable labour laws.

•      Coordinate payroll inputs for the location — new joiners, exits, arrears, deductions, and other monthly payroll variables.

•      Support internal and external audits by maintaining organized HR documentation, records, and trackers.

Admin & Office Management

•      Oversee day-to-day office administration for the Chennai location — facilities, housekeeping, vendor management, and procurement of office supplies.

•      Manage relationships with building management, service vendors, and utility providers to ensure smooth office operations.

•      Handle travel and accommodation arrangements for employees as required.

•      Maintain asset registers, coordinate IT asset allocation for new joiners, and manage returns during exits.

•      Ensure the office environment is compliant with health, safety, and statutory requirements.

HR Tools & Reporting

•      Work proficiently on HRMS platforms (e.g., Keka, Zoho People, Darwinbox, or equivalent) for all HR and lifecycle operations.

•      Prepare and maintain regular HR MIS reports — headcount, attrition, attendance, leave, and compliance trackers.

•      Identify process gaps and drive improvements to streamline recurring HR and admin workflows.

 

Required Qualifications & Skills

•      MBA / PGDM in Human Resources, or a related discipline.

•      6–8 years of experience in HR operations with exposure to office administration.

•      Prior experience in the IT and/or AEC (Architecture, Engineering & Construction) industry is mandatory.

•      Demonstrated experience managing the complete employee lifecycle — onboarding to exit.

•      Strong hands-on experience with HRMS tools, attendance systems, and HR dashboards.

•      Working knowledge of Indian statutory compliance — PF, ESI, PT, and relevant labour laws.

•      Excellent communication, interpersonal, and organizational skills.

•      High attention to detail with the ability to manage sensitive employee information with discretion.

•      Proficient in MS Office (Excel, PowerPoint, Word) for reporting and correspondence.

 

Good to Have

•      Prior experience in a dual HR & Admin role in a mid-size IT or AEC organization.

•      Exposure to multi-location HR coordination and pan-India compliance.

•      Familiarity with vendor management, facility operations, and office infrastructure handling.

•      Experience in coordinating training and L&D activities for employees.
